JOB OVERVIEW

We are a growing estate planning and probate law firm seeking a skilled Automation & Workflow Specialist to streamline and connect our core systems, eliminate repetitive data entry, and improve accuracy across the firm. This is a high-impact role focused on building efficient, scalable systems that support both client experience and internal operations. We handle high-value client matters and need systems that are just as polished as our legal work. Right now, too much time is spent on repetitive tasks and fixing preventable errors.

What You’ll Do
You will design and implement automations that connect and optimize our primary platforms, including:
---------- (task and workflow management)
Lawmatics (CRM and client intake)
QuickBooks (billing and financial tracking)
County fillable PDF forms (probate filings, deeds, etc.)
Potential replacement or automation of WealthCounsel (estate plan drafting)

Key responsibilities include:
Eliminating duplicate data entry across systems
Building workflows that automatically push/pull client and matter data
Automating document generation and population of legal forms
Improving data accuracy and reducing formatting errors
Creating dashboards and process visibility for the team
Recommending better tools or system architecture where appropriate

What Success Looks Like
Client data is entered once and flows seamlessly across all systems
Probate and deed forms are auto-populated with minimal manual input
Document drafting is streamlined or significantly reduced in complexity
Team time spent on formatting and corrections is dramatically reduced
Workflows are clear, consistent, and scalable

Who You Are
Experienced in workflow automation and systems integration (Zapier, Make, APIs, etc.)
Comfortable working with CRMs, project management tools, and accounting software
Strong problem-solver who can simplify complex, messy processes
Detail-oriented with a focus on accuracy and efficiency
Bonus: experience with legal workflows, estate planning, or document automation tools
