Kopa Creative is an Australian boutique copywriting and digital brand agency seeking a skilled Virtual Design & Marketing Assistant to join our team.
On a mission to make professional brand support accessible to all, we’re passionate about helping small and mid-sized businesses find their voice, stand out with clarity and connect genuinely with their audience.
Through collaborative website design, SEO copywriting, social and strategic brand guidance, we help businesses show up confidently and consistently, translating their vision into words and a presence that truly resonates.

ABOUT THE ROLE
This role blends general virtual assistant support with hands-on design and web development work. You’ll be responsible for creating visually polished, brand-consistent assets across a range of platforms, from websites and email templates to social media graphics and professional documents.
Above all, we’re looking for someone who brings creative initiative and independent judgement to their work. You should be the kind of person who doesn’t just follow a brief, but thinks critically about what will look good, work well and communicate effectively, then acts on that with confidence.

**A good eye for branded design and a solid working knowledge of website design, are the most important qualities for this role.**

ROLE TASKS - PRIMARY
This role will include the following:

Web Design & Page Building
• Build, customise and maintain web pages, landing pages and email templates primarily in Wix Studio (not Classic), with additional work in Shopify and Squarespace as needed.
• Work to provided briefs and brand guidelines, while using your own creative judgement to make layout and design decisions that look professional, are brand-aligned and feel intuitive.
• Ensure all web content is visually consistent, mobile-responsive and user-friendly.

Graphic Design & Branded Assets
• Design branded visual assets such as social media posts, flyers, banners and marketing materials using Canva and/or Adobe Illustrator.
• Maintain brand consistency across all visual content, applying colour palettes, fonts and design elements accurately.
• Bring creative ideas to the table – proactively suggest designs, layouts or concepts that align with each brand’s identity.

Social Media Content Design
• Design professional, branded content for Facebook, Instagram and LinkedIn, for Kopa Creative and their range of clients

Document Design & Formatting
• Create professionally formatted, brand-aligned documents and document templates in Microsoft Word, PowerPoint and Excel (e.g. proposals, reports, content calendars, guides, presentations and spreadsheets).
• Apply consistent formatting, layout and visual structure to ensure all documents are polished and ready for client delivery.

Automation & Workflow Management
• Set up and manage automated email sequences and client follow-ups to streamline communication and maintain consistency.

ROLE TASKS - SECONDARY
Depending on your skills and experience, this role may also include the following:

Social Media Management
• Schedule and post content across Facebook, Instagram and LinkedIn using platforms like Meta Business Suite.
• Engage with followers and respond to comments in a way that reflects our, and our clients’, brand voice and values.

Analytics & Insights
• Track social media performance and competitor activity, delivering clear reports that highlight actionable insights and emerging trends.

Systems & Processes
• Build and maintain operational frameworks, including routine processes, policies and workflows that support consistent delivery, scalable growth and improved efficiency across client projects and internal operations.

Administrative Support
• Monitor emails, manage calendars (including scheduling client calls, meetings and time blocking), and help prioritise weekly tasks and deadlines.

POSITION DETAILS
• Hours: Part-time, starting at 5–10 hours per week, with potential to grow as the business evolves.
• Working Hours: Flexible, between 9am–11pm ACST (Australian Central Standard Time), Monday to Friday.
• Pay Rate: Compensation offered will reflect your experience and the skills you bring to the role, with increased earning opportunities based on performance.

NON-NEGOTIABLE SKILLS
We work in an industry where visual quality, accuracy and consistency are crucial. The following skills are essential for this role:

Design & Web (Core Focus)
• A strong eye for design – you instinctively know what looks good, what works well and how to create visuals that feel professional and on-brand.
• High level of proficiency in building and customising desktop and mobile optimised web pages and email templates in Wix Studio (primary), with working knowledge of Shopify and Squarespace. Note: Wordpress design and template building knowledge would be a real bonus.
• High level of proficiency in Canva and/or Adobe Illustrator for creating branded graphic assets (social posts, flyers, banners, marketing collateral).
• High level of proficiency in creating professionally designed and formatted documents in Microsoft Word, PowerPoint and Excel.
• Creative initiative and independent judgement – you can take a brief and run with it, making confident design decisions without needing step-by-step direction.
• An intuitive understanding of layout, spacing, colour and typography and how these elements work together to communicate a brand effectively.

General Skills
• Strong written English and comprehension skills, with an emphasis on clear and effective communication.
• Exceptional attention to detail in all tasks, from design work to administration and client delivery.
• Ability to follow direction precisely and work to deadlines, while also taking initiative and thinking proactively.
• Ability to write with emotional intelligence, communicating a brand’s tone and voice effectively and connecting authentically through text.
• Active listening skills to truly understand client needs and feedback.
• Commitment to personal and professional growth – both yours and ours – with a genuine interest in the work we do.
• Availability to be online within the specified hours.

ELIGIBILITY
To be eligible, you will need access to:
• A reliable computer
• Wix, Shopify and/or Squarespace (web design platforms)
• Canva and/or Adobe Illustrator (graphic design tools)
• Microsoft Word, PowerPoint and Excel
• Access to email and social media platforms (Facebook, Instagram, LinkedIn)
• WhatsApp or Messenger applications for team communication
• Zoom or Google Meet for meetings and training sessions
• A fast internet connection

ADDITIONAL INFORMATION
Training: All necessary training and upskilling will be provided. A paid probationary period of 30 days will be in effect to ensure a good fit for both parties.
Key Performance Indicators (KPIs): Performance goals will be set post-probationary period according to your experience and training, then reviewed regularly as workload and business priorities evolve.
