We are looking for a highly organized Executive Assistant to work directly with the founder of a fast growing beverage company based in Tampa, Florida. Applicants must be able to work between the hours of 9:00am to 5:00pm EST.
This is a long term remote position with opportunity to grow with the company. You will work closely with the CEO to help manage daily operations, communications, scheduling, and administrative projects.
You must be extremely organized, proactive, and comfortable handling multiple moving pieces.
This role is critical to keeping the company running smoothly.
Responsibilities:
Executive Support
Manage the founder's calendar and scheduling
Coordinate meetings with vendors, investors, and partners
Organize travel planning and itineraries when needed
Prepare meeting notes and summaries
Track follow ups and action items
Communication Management
Monitor and organize
Draft responses to partners, vendors, and customers
Maintain organized contact lists for industry relationships
Coordinate outreach with influencers and brand partners
Operations and Logistics Support
Help manage quotes and orders for marketing materials, merchandise, signage, and promotional items
Communicate with vendors and suppliers to gather pricing and timelines
Track production orders and shipping logistics
Help organize delivery schedules and event planning
Research and Vendor Coordination
Research suppliers, manufacturers, and service providers
Collect quotes and compare pricing
Coordinate with graphic designers and marketing partners
Assist with sourcing materials for marketing campaigns and events
Marketing and Content Coordination
Schedule social media posts and coordinate with creators
Help manage influencer collaborations and outreach
Track marketing campaigns and promotions
Assist with organizing brand events and activations
Administrative Organization
Maintain organized Google Drive folders and documentation
Track invoices, receipts, and expenses
Assist with data entry and internal record keeping
Build simple spreadsheets to track projects and tasks
Required Skills
Excellent written English

Experience with Google Docs, Google Sheets, and
