We are a fast-growing eCommerce brand scaling aggressively. The pace is fast, the standards are high, and we reward people who take real ownership.
This is not a task-ticker role. You will function as the operational backbone supporting the founder directly — keeping the team accountable, ensuring nothing falls through the cracks, managing projects proactively, and handling the low-leverage tasks that eat into high-leverage time.
We need someone who is obsessively organized, proactive by default, and fast to learn systems and apply them independently.
Responsibilities:
1. Content Management
Upload and organize new UGC content into the correct frame folders following our file naming and categorization system
Maintain clean, consistent folder structure across our content library
2. Social Media Research
Scroll
Log qualifying videos into our swipe file tracker with structured notes
3. Chargeback Management
Follow our existing SOP to manage and respond to chargebacks across payment processor portals
Track chargeback cases, deadlines, and outcomes in our tracking sheet

Monitor and manage comments on our
5. Project & Calendar Management
Own and maintain our marketing calendar — upcoming holidays, seasonal events, and key retail
Track whether the team acted on notifications and escalate to the founder if deadlines are at risk
6. Creative Ops Auditing
Conduct a daily audit of our central creative operations Google Sheet
7. Team Accountability Administration
Send reminder messages to tea
8. Reporting & Data Entry
Prepare the Monday morning business snapshot so the founder walks in with a clear picture of the previous week
Flag anomalies or drops that require immediate attention
9. Customer Service & Vendor Follow-Ups
Handle straightforward customer tickets (order tracking, basic complaints, refund requests) following a defined decision tree
Chase outstanding deliverables from external vendors and agency partners — you should never need to be asked twice
What We're Looking For:
- Minimum 2–3 years of experience as a VA, Executive Assistant, or Operations Coordinator —in eCommerce, DTC
- Proven track record of managing multiple responsibilities simultaneously without things slipping
- Highly proficient in Google Sheets, Google Drive, Slack, and project/task management tools
- Strong written English — you will be communicating on behalf of the founder and responding to customers publicly
- Proactive and self-directed — you don't wait to be told what to do, you see what needs to happen and do it
- Extremely detail-oriented — you notice inconsistencies, you flag them, and you fix them
- Fast learner — if you haven't done something before, you figure it out quickly, document it, and own it going forward
- Available during overlap hours with EST timezone
What This Role Is NOT:
- This is not a beginner role. We will not train you on the fundamentals of being a VA.
- This is not a passive task-execution role. We expect you to think ahead, flag problems before they become fires, and operate with real ownership.
- This is not a part-time gig. We need someone who is fully committed and treats this like their most important professional relationship.
