JOB OVERVIEW

This is a hands-on bookkeeping role with added responsibility for client file coordination, reconciliations, and workflow support. We are not looking for a general virtual assistant.

Novack CPA is a growing Canadian CPA firm serving healthcare professionals, incorporated professionals, entrepreneurs, and owner-managed businesses. We provide bookkeeping, financial reporting, tax compliance, and advisory support across multiple client files.

Role Overview
We are looking for a strong, detail-oriented bookkeeper who can also help keep client files organized and moving. This role combines bookkeeping, reconciliations, document follow-up, and workflow support in a multi-client accounting firm environment.

Key Responsibilities

Perform bookkeeping for multiple clients using QuickBooks Online and other cloud tools

Categorize transactions and maintain accurate books

Prepare bank, credit card, loan, and other account reconciliations

Assist with accounts payable and accounts receivable tracking

Support payroll administration and remittance tracking

Follow up with clients for missing records and supporting documents

Maintain workflow trackers, task lists, and file status updates

Organize supporting documents for month-end, year-end, and tax preparation

Assist with bookkeeping cleanup projects

Flag unusual transactions, discrepancies, and missing information for review

Help maintain organized digital files and consistent documentation

Requirements

Minimum 3 years of bookkeeping or accounting support experience

Strong QuickBooks Online experience

Strong reconciliation skills

Strong Excel or Google Sheets skills

Excellent written and spoken English

Experience working with multiple clients or multiple entities

Highly organized and detail-oriented

Reliable internet connection and backup setup

Nice to Have

Experience working for an accounting firm or bookkeeping firm

Experience with professional services clients

Familiarity with Dext, Hubdoc, Wagepoint, Karbon, or similar tools

Experience with month-end close support and year-end working papers

Important Notes

This is a support role for a Canadian CPA firm

You will not be expected to provide tax advice or finalize tax returns independently

Accuracy, communication, reliability, and organization are critical
