Data Entry and System Configuration Specialist (Remote for Philippine Contractors, MT Hours)

As a Data Entry and System Configuration Specialist, you will play an important role in helping Redlist customers successfully transition their operational processes into the Redlist platform. Your work will directly support our onboarding and implementation teams by transforming customer documentation-such as inspection forms, maintenance manuals, and operational procedures-into structured digital workflows within our system.

This role is ideal for someone who enjoys working with structured data, has strong attention to detail, and takes pride in building organized systems. You will work closely with our onboarding and customer success teams to help ensure new customer accounts are properly configured, allowing their teams to execute inspections, maintenance tasks, and operational workflows efficiently within Redlist.

Your work will help industrial teams replace paper processes with digital systems that improve reliability, accountability, and operational consistency.


Core Responsibilities

Inspection Form Digitization
- Convert customer inspection forms, checklists, and operational documentation from paper, PDF, or spreadsheet format into structured digital forms within the Redlist platform.
- Build and configure forms using the Redlist Form Builder, ensuring clear organization, logical structure, and ease of use for field technicians.
- Configure form fields, logic, and automation triggers to support operational workflows and accurate data collection.
- Maintain consistency in formatting, naming conventions, and structure across customer accounts.

Maintenance Work Order Configuration
- Review equipment manuals and maintenance documentation to identify required preventative maintenance activities.
- Translate manufacturer maintenance recommendations into structured preventative maintenance tasks using Redlist work order templates.
- Organize maintenance tasks based on frequency, equipment type, and operational requirements.
- Ensure maintenance procedures are accurately captured so technicians can execute tasks effectively in the field.

Customer Data Digitization & System Setup
- Assist in the onboarding of new Redlist customers by organizing and digitizing operational data for import into the system.
- Structure customer assets, inspection workflows, and preventative maintenance programs within the Redlist platform.
- Prepare and format customer-provided data for accurate entry and system configuration.
- Maintain high levels of accuracy and attention to detail to ensure reliable system setup.

Operational Support
- Collaborate with the onboarding and customer success teams to complete implementation tasks for new customer accounts.
- Identify inconsistencies or missing information in customer documentation and escalate when necessary.
- Follow internal documentation standards and implementation processes to ensure consistency across customer accounts.
- Complete additional administrative or operational tasks as assigned.

Required Qualifications
- Strong attention to detail and commitment to data accuracy
- Ability to organize and structure information clearly and consistently
- Strong written English communication skills
- Ability to work independently while managing assigned tasks and deadlines
- Comfort working with spreadsheets, documentation, and structured data
- Reliable internet connection and ability to work remotely

Preferred Qualifications
- Experience with data entry, data structuring, or system configuration
- Experience working with SaaS platforms or digital workflow tools
- Experience reviewing technical documentation or operational manuals
- Familiarity with industrial maintenance, inspections, or operational processes (helpful but not required)
