About the Role
We are looking for a detail-oriented and proactive Short-Term Rental Virtual Assistant to support our growing portfolio of furnished rental properties. The ideal candidate has prior experience managing Airbnb or short-term rentals and can independently handle guest communication, vendor coordination, and operational tasks.
This role requires someone who is organized, responsive, and comfortable working independently while maintaining high hospitality standards.
Key Responsibilities
Guest Communication
Respond to guest inquiries and booking requests promptly
Manage guest messaging on platforms such as Airbnb, VRBO, and direct bookings
Assist guests before, during, and after their stay
Handle check-in instructions and troubleshooting
Address guest issues quickly and professionally
Vendor & Cleaner Coordination
Schedule and coordinate cleaning teams between guest stays
Communicate with maintenance vendors and service providers
Ensure cleaning checklists and property standards are met
Follow up on maintenance issues and repairs
Confirm turnover readiness before each check-in
Airbnb AirCover & Issue Resolution
Handle AirCover claims and damage reports
Document damages with photos and communicate with guests
Submit claims through Airbnb Resolution Center
Track claims and follow up with Airbnb support when needed
Inventory & Property Management
Monitor and track property inventory such as:
Towels
Linens
Toiletries
Cleaning supplies
Kitchen supplies
Coordinate restocking with cleaning teams or vendors
Maintain property supply lists and reorder when needed
Operational Support
Update property calendars and reservations
Assist with listing updates and guest instructions
Monitor guest reviews and feedback
Help maintain operational checklists and SOPs
Ensure properties meet company hospitality standards
Required Skills & Experience
Must Have
Experience working with Airbnb or short-term rentals
Strong written English communication
Experience with guest messaging and hospitality
Ability to work independently and solve problems
Strong attention to detail
Excellent organizational skills
Preferred Experience
Experience with Hospitable, Guesty, OwnerRez, or similar PMS
Experience handling AirCover claims
Experience coordinating cleaners and maintenance teams
Familiarity with Google Docs, Sheets, and task trackers
