We are looking for a highly organized and proactive Administrative Virtual Assistant to support our daily operations. The ideal candidate should be detail-oriented, reliable, and comfortable handling administrative tasks such as creating rosters,schedule monitoring, tracking reports, managing files, and coordinating with tea
This role requires strong interpersonal & organizational skills, the ability to work independently, and experience handling operational trackers and internal communications.
Key Responsibilities
- Daily Tasks
- Check and respond to offline messages and daily
- Maintain and organize personnel files (active, inactive, and store roster records)
- Update and manage time target photos and records
- Send daily shift reminders
- Monitor clock-in and clock-out
- Track daily and i
- Update absenteeism and late trackers
- Handle schedule updates and notifications
- Monitor general team concerns and assist with resolution
- Check and manage communication platforms and website inquiries
- Send daily schedule & updates to the team
- Assist with shift cancellations or coverage requests
Weekly Tasks
- Review and submit time target errors and clock-in/out issues
- Create,confirmation of weekly rosters for LPO (Loss Prevention Officer)
- Prepare weekly i
- Check and update QR records and trackers
As Needed
- Update and maintain LPO documentation and trackers
- Assist with employee removal or termination documentation
- Support new hire onboarding protocol and interview coordination
- Maintain PayID and bank details trackers
- Process payslip and remittance requests
- Handle leave requests ,resignation & Termination protocol
- Update time target and HF number records
- Coordinate security requirements for special events

Requirements
- Previous experience as a Virtual Assistant, Administrative/HR Assistant, or Operations Assistant are welcome to apply.
- Strong organizational and time management skills
- Excellent written English communication
- Having interpersonal skills and can work under pressure is a PLUS.
- Experience with Google Workspace or Microsoft Office
- Ability to manage trackers, reports, and schedules
- High attention to detail is a MUST
- Ability to work independently and meet deadlines is required.
