As our partners continue to expand, we are looking for a detail-oriented Back Office Admin who can help keep administrative operations organized and efficient.
Job Summary:
We are seeking a proactive and detail-oriented Back Office Admin with a strong background in administrative support and data management—ideally within the real estate industry.
The ideal candidate is highly organized, tech-savvy, and capable of managing a variety of behind-the-scenes tasks that help agents stay focused on serving clients and closing deals. This role involves maintaining CRM records, tracking transaction timelines, organizing documentation, and providing day-to-day administrative support to the broker and agent team.
This position is ideal for someone who enjoys structured work, thrives in an organized environment, and takes pride in maintaining accurate records and smooth operations.
Key Responsibilities
CRM & Data Management:
- Maintain and update CRM records with accurate agent and client information
- Ensure data is organized, complete, and properly documented
- Assist with database organization and list segmentation

- Escalate important communications to the broker or agents when needed
- Assist with follow-ups and internal communication coordination
Transaction & Document Coordination:
- Track transaction timelines and ensure deadlines are met
- Confirm that all required documents are submitted and complete
- Organize digital files and maintain compliance documentation
Administrative Support:
- Support onboarding and administrative setup for new agents
- Prepare and distribute internal reports, checklists, and schedules
- Assist with day-to-day operational and administrative tasks
- Coordinate with agents to gather missing documents or resolve back-office issues
Requirements:
- 1–2 years of experience in administrative, back-office, or real estate support roles
- Strong attention to detail and accuracy in data entry
- Excellent written communication and organizational skills
- Proficiency in Google Workspace or Microsoft Office (especially Excel/Google Sheets)
- Experience using CRMs and document management systems
- Ability to work independently in a remote environment
- Highly organized with strong multitasking abilities
- Familiarity with U.S. real estate processes is a plus
- Reliable internet connection and professional home office setup
