We are an Australian Building and Insurance company seeking a highly organised and articulate Remote Administration & Scheduling Coordinator to join our growing team.
This role is critical to the daily operations of our business. You will assist with scheduling technicians, coordinating jobs, communicating with clients and insurers, and managing administrative tasks across multiple systems and portals.
We are looking for someone with excellent English communication skills, strong organisational ability, and the confidence to work in a fast-paced, high-responsibility environment.
Key Responsibilities
• Scheduling technicians and coordinating daily job allocations
• Managing job updates and administrative tasks across multiple systems
• Communicating with clients, insurers, and internal tea
• Maintaining job notes, documentation, and workflow updates
• Assisting with job progress tracking and follow-ups
• Learning and managing new online platforms and job management systems
Requirements
• Excellent spoken and written English (clear and professional communication)
• Previous experience in administration, scheduling, dispatch, or coordination roles
• Experience working with trades, construction, or insurance companies is highly desirable
• Highly organised and detail oriented
• Ability to work in a fast-paced and sometimes high-pressure environment
• Strong problem-solving skills and ability to prioritise tasks

• Backup internet connection (mobile hotspot or secondary line)
• Quiet and professional work-from-home environment
• Reliable computer suitable for remote work
Working Hours
• Monday – Friday
• 9:00 AM – 5:00 PM Sydney (Australia) time
