JOB OVERVIEW

We are seeking a highly organized, detail-obsessed Executive Assistant to directly support the CEO of a fast-paced immigration legal firm. Please visit ---------- to see who we are.

MUST HAVE IMMIGRATION OR LEGAL EXPERIENCE. Experience with Canadian Immigration is a HUGE bonus.

You must have exceptional spoken and written English, strong judgment, and the ability to anticipate needs before they arise.

The ideal candidate is exceptionally organized, proactive, and able to manage multiple priorities with precision and professionalism.

Must be able to work Mountain Standard Hours (MST) 8.00am to 3.00pm
Start Date: Immediate

This role is ideal for someone who thrives on structure, excels at communication, and genuinely enjoys keeping operations running smoothly behind the scenes.

Key Responsibilities
• Manage and organize the CEO’s daily calendar, appointments, and meetings; ensure all commitments are fully prepared for in advance.
- Client case organization and process follow up.
• Track deadlines, deliverables, and upcoming projects; create daily CEO briefings that outline priorities and action items.
• Monitor, sort, and prioritize emails; draft replies where appropriate and ensure no messages are missed or delayed.
• Maintain organized digital systems, files, and documentation for quick and efficient retrieval.
• Draft, proofread, and format documents, communications, and simple reports.
• Liaise professionally with clients, internal tea ---------- mbers
• Provide general day-to-day administrative support, including reminders, follow-ups, and task management.
• Handle confidential information with absolute discretion.
• Proactively identify gaps, inefficiencies, or upcoming risks—and provide solutions before issues arise.

Qualifications

• Exceptional spoken and written English—clear, professional, and confident.
• Incredible organizational skills and high volumes of communication.
• Strong attention to detail and accuracy.
• Ability to work independently, take initiative, and maintain a polished, calm presence.
• Tech-savvy: comfortable with email management, cloud storage, scheduling tools, and productivity software.
• Prior experience supporting a CEO, executive, or entrepreneur is a strong asset.
