Part-Time Email Outreach & Lead Nurture VA (Music Industry)

We help gigging musicians (wedding bands, corporate event musicians, soloists, DJs) book more and better-paid private events through training, community, and a profile platform called ---------- where musicians can showcase their act and get discovered.

We already have a working cold email system (using Instantly) and a growing list of musicians. Our open and reply rates are strong. The bottleneck now is fast, organized, consistent follow-up with people who reply.

That’s where you come in.

Role Overview (Part-Time: 4 hours/day, 5 days/week)

Your main job is to turn replies into results:

- Check our Instantly email inbox daily
- Tag and organize every reply (interested / later / questions / not a fit)
- Send follow-up emails using templates and your own judgment
- Keep a simple tracking sheet updated (status, last touch, next touch)
- Do basic lead research to add new qualified musician emails to our list

You are not doing high-pressure sales. You are doing smart, polite, consistent lead nurture: fast responses, personalized follow-ups, and clear next steps.

Key Outcomes: (How we’ll measure success)

- 100% of new replies tagged and handled the same day
- Warm leads receive a thoughtful response within 12 hours
- Consistent number of new musician profiles created on ---------- each week
- Clean, accurate tracking sheet so no interested lead is forgotten

Daily Tasks:

- Log into Instantly and process all new replies
- Choose & send the correct follow-up template based on lead type
- Lightly personalize messages (using their name, act type, situation)
- Update lead statuses and next follow-up date in our sheet/CRM
- Spend remaining time building new lists of musicians from directories, websites, and Instagram (we’ll give SOPs)

Requirements:

- Strong written English and professional email tone
- Experience with any of: cold email, appointment setting, lead generation, or customer support
- High attention to detail and reliable daily execution
- Comfortable working with simple tools (Google Sheets, email, basic CRMs)
- Stable internet and ability to work on a consistent daily schedule (PH time)

Nice to Have: (but not required)

- Experience in BPO, sales support, or appointment setting
- Familiarity with Instantly or other cold email tools
- Interest in music or events (weddings, corporate, live gigs)

We’ll start with a paid trial (first 2 weeks) focused on responsiveness, quality of replies, and attention to detail. If it’s a good fit for both of us, this will be a long-term, stable role where you can grow with the business.
