JOB OVERVIEW

Position Purpose
Begin as a **bookkeeping and accounting automation agent**, using OpenClaw or similar tools to systematise and streamline core financial workflows (invoices, receipts, bank feeds, basic reporting), then progressively expand into wider business and personal process automation across the organisation. Role Evolution Overview

- Phase 1 – Bookkeeping & Accounting Agent
- Implement and operate automation for invoice intake, expense/receipt handling, basic reconciliations, and recurring accounting routines using OpenClaw or comparable tools. [openclawdir]( ---------- )
- Coordinate data flows into existing accounting systems (e.g. Xero, QuickBooks, other ledgers) and maintain clean, review?ready data for the external accountant or finance lead. [inkle]( ---------- )

- Phase 2 – Finance Operations & Reporting
- Build workflows for management reports, recurring cashflow snapshots, variance checks, and exception alerts (e.g. unusual transactions, overdue invoices). [virtualworkforce]( ---------- )

- Phase 3 – Broader Business & Personal Automation

- Act as the internal lead for process discovery, workflow design, and automation engineering across business and personal workflows.

Key Responsibilities (with phased emphasis)

1. Bookkeeping & Accounting Automation (Initial Focus)
- Map current bookkeeping flows: invoice intake, approvals, coding, bank feeds, month?end routines, and compliance tasks.
- Design and configure OpenClaw (or similar) workflows for:
- Invoice processing (extraction, validation, duplicate checks, approval routing, archiving). [openclawdir]( ---------- )

- Daily/weekly “sweep” routines that move documents through intake ? processing ? client or entity folders, and generate summary reports. [openclawdir]( ---------- )

2. Operations, Controls, and Support
- Monitor automated bookkeeping workflows, manage exception queues, and escalate edge cases where judgement is required.
- Maintain an auditable trail for all automated accounting actions (inputs, transformations, approvals) in line with agreed practice and adviser requirements. [tencentcloud]( ---------- )
- Document “how things work” for each financial workflow so an external accountant or auditor can follow the process.

3. Process Analysis and Expansion Beyond Finance
- Run structured discovery sessions with the business owner to identify non?finance processes suitable for automation (client intake, recurring reporting, reminders, personal admin).

4. Engineering & Tooling

- Implement API calls, webhooks, or light scripting where necessary to connect systems or transform data, while keeping the bulk of logic in visual workflows.

Skills and Experience

Essential
- Practical bookkeeping or accounting operations experience (or close collaboration with bookkeepers/accountants), including familiarity with invoices, receipts, reconciliations, and basic reporting. [dualentry]( ---------- )
