About the Role
This role requires excellent organisation and attention to detail. If you enjoy creating structure, maintaining documentation and keeping teams organised, this role will suit you well.

We are seeking a highly organised and detail-oriented Operations Administrator to support the day-to-day operational structure of a growing Australian telehealth business. This role focuses on scheduling, HR documentation, and operational organisation. It is a precision-based execution role, not a leadership position. You will work closely with the CEO to ensure operational systems remain organised, accurate, and running smoothly.

Key Responsibilities

Scheduling & Workforce Coordination
• Manage practitioner and admin schedules
• Track sick leave, annual leave and coverage
• Maintain scheduling accuracy in Deputy / Acuity
• Ensure consistent operational coverage

HR Administration
• Maintain employee HR folders and documentation
• Track contracts, probation dates and compliance records
• Maintain onboarding checklists for new staff
• Liaise with payroll/bookkeeper on leave records

SOP Governance
• Maintain the company SOP library (Google Docs)
• Ensure version control and documentation clarity
• Track updates and archive outdated processes

Operational Support
• Maintain simple operational tracking sheets
• Follow up on missing inputs or documentation
• Ensure administrative tasks are completed accurately and on time

Who You Are
• Highly organised and detail-focused
• Comfortable managing schedules and documentation
• Excellent English
• Calm and structured in your communication
• Comfortable working independently and following up when needed

Experience Required
• 3+ years in operations administration, HR coordination, or workforce scheduling
• Experience managing schedules or staff rostering
• Experience maintaining documentation in CRM's / SOP systems (slack/notion/google ---------- )
• Strong Google Workspace skills

Healthcare experience is helpful but not required.
