About the Opportunity
Our client is a rapidly growing US-based janitorial services company seeking a highly organized Operations Coordinator to serve as the central hub for our remote team. This is a high-responsibility role that requires a "command and control" mindset. You will ensure that work orders are tracked, vendors are compliant, and the CEO’s administrative workflow is seamless.
Your Role:
Key Responsibilities
• Work Order Management: Ownership of tracking and documenting all work orders in ServiceSync. You are responsible for ensuring every job is updated and closed accurately.
• Vendor Coordination: Manage onboarding and documentation for service providers, ensuring they meet insurance and compliance standards before they step onto a job site.
• Payroll Preparation: Consolidate time logs and payment data for employees and providers, delivering 100?curate reports for final leadership review.
• Executive Support: Manage the CEO’s inbox, triage urgent client matters, and handle scheduling/administrative tasks to maximize leadership efficiency.
• Systems Integrity: Maintain high-quality data across Google Workspace and internal operational platforms.
Qualifications & Requirements
• Experience: 3+ years in a high-level Administrative, Operations, or Executive Assistant role. Experience with US-based service industries (Janitorial, HVAC, Construction) is a major plus.
• Communication: Exceptional, near-native English (written and verbal). You must be comfortable communicating with US-based clients and vendors professionally.
• Technical: Expert-level proficiency in Google Workspace (Sheets, Drive, Docs).
• Night Shift Readiness: Proven experience working the graveyard shift. You must have a dedicated, quiet home office setup.
• Redundancy: Mandatory backup power source (UPS/Generator) and a secondary internet ISP to ensure 100% uptime during the PST shift.

• Schedule: Monday – Friday, 1:00 AM – 9:00 AM Manila Time (9:00 AM – 5:00 PM PST)
• Stability: This is a long-term, 40-hour/week position.
• $7 USD/Hour
• Compensation: Competitive USD-based salary + 13th Month Pay + PTO + Paid US Holidays + PTO.
