About Us
We are a physician-led health and wellness coaching business on a mission to change the conversation around metabolic health. Our flagship program — the Joyful Metabolic Reset — is a 12-week lifestyle medicine intervention that helps people reverse metabolic conditions through science-backed approaches grounded in joy, cultural sensitivity, and body inclusivity.
We are in an exciting growth phase and need a sharp, experienced VA who already knows the tools and can contribute from day one — not someone we have to train from scratch.


The Role
We're looking for a proactive, tech-savvy Virtual Assistant who thrives supporting a mission-driven health coaching business. You will take on the operational and marketing tasks that pull our founder away from high-impact work — freeing her up to coach, create, and grow.
This role is a great fit for someone with real experience in digital marketing, email systems, ad platforms, and social media management for online coaching or course-based businesses.
We especially welcome applicants who have experience supporting ADHD entrepreneurs. We value clear, structured communication, proactive updates, and a calm, organized working style.


What You'll Do

Email
Management & Sequences
Build, manage, and optimize email sequences and automations in Kit (formerly ConvertKit)
Draft and schedule broadcast emails aligned with our launch and content calendar
Monitor deliverability, open rates, and click rates — and flag anything that needs attention
Manage and organize the inbox, triage incoming messages, and draft responses for review
Social Media Posting & Scheduling
Schedule and publish content across Instagram, Facebook, and YouTube
Repurpose webinar recordings and long-form content into short-form social assets
Design simple graphics and reels thumbnails in Canva
Monitor comments and DMs; flag priority messages for the founder's attention
Ad Management Support
Assist with Meta (Facebook/Instagram) ad setup, audience configuration, and campaign monitoring
Pull weekly performance reports and summarize results clearly — no jargon, just the key numbers
Troubleshoot Meta Business Suite issues and help navigate policy requirements
Admin & Calendar Management
Maintain organized Google Drive folders, shared docs, and project files
Track tasks and deadlines in a shared project management tool (e.g., Trello, Notion, Asana)
Manage calendar scheduling, appointment setting, and reminders
Handle research tasks (tools, vendors, pricing comparisons) as needed
Tech Setup & Troubleshooting
Support content uploads, landing pages, and webinar replay hosting in Stan Store
Assist with platform integrations and light tech troubleshooting across our tool stack
Handle YouTube video uploads, descriptions, tags, and channel optimization
Identify and resolve minor tech issues independently — we don't have bandwidth to hand-hold on platform basics


Tools You Must Already Know
Please do not apply if you are still learning these. We need proficiency, not potential:

Kit (ConvertKit) — email sequences, automations, broadcast emails
Meta Ads / Meta Business Suite — campaign setup, audiences, reporting
Stan Store — content hosting, link pages, webinar replays
Canva — graphics, social templates, branded visuals
YouTube — video uploads, descriptions, SEO basics, channel management
Social media scheduling tools — e.g., Later, Buffer, Metricool, or similar
Google Workspace — Drive, Docs, Sheets, Gmail, Calendar


What We're Looking For
Experienced: 2+ years supporting an online coaching, course-based, or health/wellness business as a VA or digital marketing assistant.
Tool-fluent (not tool-curious): You log into these platforms regularly. You know the shortcuts, the workarounds, and the gotchas.
Proactive and intuitive: You anticipate needs, surface problems before they become crises, and take initiative without waiting to be told what's next.
ADHD-friendly communicator: You help create structure, not chaos. You know how to give a clear, concise status update — what's done, what's in progress, what needs a decision — without overwhelming us.
Reliable and organized: You meet deadlines, communicate proactively if something changes, and never let things fall through the cracks.
Mission-aligned: You care about health equity, wellness, and making a real difference in people's lives. This isn't just a job to you.


Nice to Have
Experience supporting ADHD entrepreneurs or neurodivergent founders
Familiarity with online coaching or digital course launches
Background in health, wellness, or medical-adjacent industries
Basic video editing skills (Reels, YouTube Shorts)


Logistics & Pay
Hours: Approximately 20 hours/week (part-time, ongoing)
Rate: Up to $15/hr USD, based on experience
Schedule: Flexible, with some availability during U.S. business hours preferred
Location: 100% remote — open to applicants worldwide
Start: ASAP once the right person is found
