Be responsible for the overall administrative functions of their organization and often oversee the support of executives, as well.
Supervise Administrative Staff, Office Managers, and Staff assistants, offering guidance and training while delegating work tasks and running payroll.
Ensure that day-to-day operations of their organization run smoothly.
Assign work, provide direction to clerical staff, and ensure that assigned tasks are completed.
Ensure effective and appropriate clerical staff coverage.
Orient and train clerical staff.
Monitor the performance of staff.
Provide feedback on their performance and conducts performance evaluation.
Participate in the recruitment and selection of clerical staff by performing duties such as advertising vacancies, screening resumes, interviewing applicants, and providing input on selection.
Evaluate, develop, and recommend office procedures and practices to senior management.
Ensure that approved office policies, practices, and procedures are understood and followed.
Respond to outside inquiries about services offered by the organization.
Communicate with other community service agencies and/or ministries regarding client enrolment in and attendance at programs.
Perform a variety of secretarial duties such as drafting and typing routine correspondence, arranging meetings, and taking minutes.
Collect, research, organize, and summarize data from a variety of sources and produces reports such as program status and board reports
Produce adhoc reports from databases as required by the Supervisor by identifying and organizing the required information, compiling data, designing format, and printing reports.
Perform other related duties as required.
