Execute Assistant:
SUBJECT: Executive Assistant Wanted.
We are in need of a skilled Executive Assistant who is highly organized, proactive, and operations-minded who can serve as a dependable right hand and help keep projects, people, and priorities moving forward.
This person will support Jennifer directly across business, content, customer support, operations, and light business admin.
Someone who can successfully do all of the following responsibilities without the CEO having to follow up (to see if they were done correctly or done at all) or step in and do them.
The EA will:
1. Check and triage Jen’s inboxes (business, rental, and personal), flagging what needs response, action, or review
2. Surface items that require Jen’s decision, approval, or input
3. Manage quick follow-up tasks and status checks across vendors, guests, affiliates, and collaborators
4. Updates Jen’s tasks on Asana, and maintains the 1:1 board accurately
5. Organize docs, images and files in Google Drive
6. Attend or prepare for weekly planning meetings, take notes, and track action items so next steps are clearly documented and followed through on
7. Follow up on pending approvals, invoices due for payment, deliverables, and deadlines
8. Maintain recurring business/admin workflows tied to launches, podcasts, and member support
9. Confirm group program coaching call dates, times, hosts/co-hosts
10. Update and present upcoming conferences and events for Jennifer to attend or present at
11. Maintain promotional calendars and ongoing launch support
12. Update recurring SOPs / process documents as workflows evolve
13. Review lease renewal dates for rental tenants and update lease renewal / rent increase letters so they are ready to be issued on the first of the month, at least 30 days before the rent increase takes effect
14. Scheduling, moving, adjusting, or canceling personal appointments, including doctor’s appointments and similar personal scheduling tasks
We’re looking to add a talented, sincere, committed person to the team ASAP. You must be a self starter, a problem solver, and orderly. Your position will have strict deadlines to get stuff done, without over complicating things.
This is a fully remote part-time EA role requiring 20 - 25 hours per week to start with the option to increase to full time. Pay is $6 - $7/hour depending on experience.
Approximate working hours are USA EST time zone: 8:00am - 4:00pm with occasional requests to support me from 7pm to 9pm ET if I'm running a live class where support is needed. Would be scheduled with advanced notice.
You will have PTO for all national and special Philippine holidays.
I'm open to the role having more flexibility in hours as competency and reliability are proven.
There will be a two-month trial period on a graduated pay scale meaning you will start at $4.50 - $5/hour DOE, and receive an additional $0.50/hour increase each month and be able to receive full pay once you successfully complete your probationary period.
After a 6-month performance review, we will determine an increase in pay to $7-$8/hour.

Our Tech Stack:
Since you will need to work efficiently on assigned tasks all by yourself or with little assistance, ideally you will have working knowledge of a few products in our tech stack. If not, we will use screen recordings, an onboarding document and Zoom calls to explain what needs to be done and how to do it.
However you MUST be willing to use Google and YouTube to learn the software required for your job. Your professional development is important to the success of the business.
You need to be able to use our complete tech stack proficiently within your first five weeks of working with us.
