JOB OVERVIEW

About the Role:
I am an owner-operator looking for a high-level Executive Assistant to help streamline operations for our hotel. You will be my right hand, managing the "day-to-day" so that I can focus on high-level strategy and growth. This is not a role for someone who needs to be told exactly what to do; it is a role for someone who is exceptionally organized, resourceful, and thrives on creating order out of chaos.

What You’ll Be Doing:

Operations Oversight: Act as the primary point of contact for daily hotel operations, ensuring the team is aligned and informed. You will provide a time-sensitive daily update to the team at the same time every single day.

Guest Experience: Manage guest communications with professional care. You will be trusted to use your discretion to resolve issues and escalate only the most critical sales inquiries or guest conflicts.

Financial & Tech Admin: Handle payment reconciliation and manage the refund process. This includes navigating complex tech support systems (Expedia, ---------- , etc.) to resolve billing or listing issues.

Digital Presence: Maintain our hotel’s image by keeping photos and listings up-to-date across all platforms (Airbnb, ---------- , Expedia).

Problem Solving: When you hit a wall, you don’t stop—you figure it out. You are expected to use tools like Gemini to research, troubleshoot, and learn new processes independently.

Who You Are:

Obsessively Organized & Punctual: Timeliness is your top priority. You treat deadlines with respect and keep others accountable to theirs.

Resourceful: You don’t need constant direction. If you see a problem, you propose a solution. You are an expert at finding information and "figuring it out" without needing to be walked through every step.

Discerning: You know exactly when an issue is yours to solve and when it needs to be escalated to the owner or hotel manager.

Professional Communicator: You can navigate difficult conversations with tech support and handle guest requests with grace.

Requirements:

Proven experience in an administrative or operations role

Ability to figure things out using tools like Gemini

Strong verbal and written communication skills.

Ability to work independently in a fast-paced environment.
