Real Estate Operations & Transaction Support VA

Overview

Seeking a detail-oriented Virtual Assistant to support real estate operations across residential and commercial activities. This role will focus on documenting processes (SOPs), supporting transaction-related workflows, managing administrative follow-ups, and assisting with website/social media execution as needed. The ideal candidate is highly organized, learns quickly, communicates professionally, and can maintain accuracy in a fast-paced environment.

Key Responsibilities

1) Process Documentation & SOP Development (Primary)
Document and organize end-to-end workflows, including onboarding processes for new agents (residential and commercial tracks) Create and maintain SOPs, checklists, templates, and internal reference documents
Ensure documentation is clear, structured, and easy to follow for team use

2) Transaction & Operations Support
Assist with transaction-related tasks as assigned (tracking, coordination, documentation support)
Monitor deadlines, follow-ups, and action items to keep work moving forward
Maintain organized records and file structure for quick access and consistency

3) Administrative Coordination & Follow-Ups
Send professional confirmation emails for meetings, trainings, and scheduled appointments
Review calendar items flagged for confirmation and follow through on outreach
Support operational tasks such as requesting pricing/quotes, coordinating orders (e.g., listing signage), and vendor communication (primarily via email)

4) Website & Social Media Support (Secondary)
Support website launch tasks and ongoing updates as requested
Assist with setting up and maintaining social media channels with appropriate tone for residential and commercial audiences
Light Canva support is a plus (not required)

Qualifications

Strong attention to detail and high standards for accuracy
Professional written communication skills (email follow-ups and documentation writing)
Highly organized, dependable, and proactive
Fast learner who can work with minimal supervision after initial training
Real estate familiarity is preferred but not required
