Position Overview
We are hiring one (1) reliable and performance-driven Virtual Assistant for:
Shift: 1:00 PM – 7:00 PM, Monday–Friday (PST)
(Schedule adjusts during Daylight Saving Time and Standard Time)
Rate: $4.50/hour
?? Important: This shift is fixed and not flexible. Applicants must be available to work exactly during the assigned PST hours. Requests for flexible scheduling or adjusted hours cannot be accommodated.
This role supports our Employee Retention Credit (ERC) operations. The position combines IRS call handling and structured administrative work in a fast-paced, remote environment.
We provide training. However, this role requires strong accountability, technology adaptability, and consistent execution.
What You Will Be Responsible For:
IRS & Case Follow-Up
Make professional follow-up calls to the IRS regarding ERC refund claims
Accurately document call outcomes and updates
Maintain organized case notes and status updates
Administrative & Documentation Tasks
Review IRS Form 941-X related to ERC claims
Pull client documents from the client portal
Create and organize client folders in Google Drive
Properly label and upload IRS and client documents
Manage workflows and deadlines using ClickUp
Follow detailed SOPs, scripts, and instructions
This role requires attention to detail, structured thinking, and strict confidentiality.
Who Will Succeed in This Role:
We are looking for someone who is:
Fluent in spoken and written English
Comfortable making professional phone calls
Tech-comfortable and able to quickly learn tools (ClickUp, Google Drive, client portals)
Able to work independently in a remote environment (the primary mode of training is by video & technology, while supplemented sparingly & as-needed by live training)
Organized and detail-oriented
Consistent with attendance and daily output
Responsible with confidential IRS and tax information
This role is not ideal for someone who:
Needs flexible hours
Struggles with fixed schedules
Has unreliable internet or frequent schedule conflicts
Lacks a quiet, professional dedicated workspace for phone calls
Requires "shadow-style" or side-by-side training to learn new tasks
Struggles to learn and implement workflows from video tutorials or written documentation
Requires constant supervision
Experience (Preferred, Not Required)
Tax, accounting, or financial services background
Experience with IRS processes
Customer service or call center experience
Familiarity with tax forms (especially Form 941-X)
Use of ClickUp or other project management tools
New Virtual Assistants are welcome.
Training is provided. What matters most is professionalism, discipline, and the ability to adapt quickly.
