Hello! We’re a busy real estate development company in Austin, Texas and we’re looking for someone to help with book keeping and back office administration. Most of the work is related to budget management and reporting. The ideal candidate will be highly organized and able to manage budgets and billing for multiple projects.
Book Keeping Assistance
* Keeping track of daily expenses and coding them (from scanned invoices)
* Review credit card statements and checks written to ensure all expenses are billed; and billed correctly
* Processing invoices, managing due dates for invoices
* Managing partial and split payments
* Reconciling Budgets
* Creating change orders, sending them to the client for approval
* Ordering, tracking and returning items at Build.com or other similar sites
* Tracking orders and deliveries
* Managing Inventory Spreadsheets
* Billing each client, per different bank’s requirements
* Paying and maintaining credit card balances twice a month
Back Office
* Occasionally will need to be available during CST time zone to make phone calls to get missing receipts from vendors
* E-mail Management
* Calendar Management
* Documenting client’s text messages, e-mails, voicemails and other communication by logging them in Co-Construct (this is specialized software for our business. We will train the right candidate to do what we need).
* Managing things like ensuring projects are insured, placing orders (will require work during local business hours, but minimally needed)
* Making occasional travel plans (flight, hotel, rental car bookings; etc.)
* Ability to document and write-up processes (is a plus)
Skills and Requirements
* Microsoft Excel
* Quickbooks
* Expensify (will train the right candidate)
* Co-Construct (this is specialized software for our business. We will train the right candidate to do what we need).
* Microsoft Word or Google Docs for documents
* E-mail (Gmail specifically)
* English reading/writing/speaking
* Occasionally will need to be available during CST time zone to make phone calls
* Ideal candidate will have some overlap with our work day
* Ability to use Dropbox and/or Google Docs
The Ideal Candidate Will Have the Following
* Extremely good with numbers and managing budgets with a lot of transactions
* Highly organized
* Detail oriented
* Have a fast reliable internet connection and a way to communicate efficiently using either phone or computer (WhatsApp, Google Chat, or Similar)
