We are a small law firm seeking a highly organized, detail-oriented Virtual Assistant to support the firm’s administrative, operational, and client management tasks. The ideal candidate is proactive, efficient, a clear communicator, and has a professional demeanor. Prior law firm, legal, or administrative experience is preferred.
This role will work directly with the firm owner.
Key Responsibilities
- Manage and maintain calendars, schedule appointments, and coordinate meetings
- Assist with drafting, formatting, and proofreading documents and
- Maintain digital files and organize case-related materials in cloud-based systems
- Conduct research and summarize findings
- Prepare client intake forms and manage onboarding workflows
- Assist with potential client intake, follow up with inquiries, and (over time) conduct introductory phone calls
- Support billing coordination and invoice follow-ups
- Prepare PowerPoints for presentations
- Create images for social media posts
- Proofread and edit blog posts (and potentially help with drafting posts)
- Communicate with clients and potential clients in a professional and courteous manner
- Assist with personal matters as needed
Qualifications
- At least one year experience as a virtual assistant, legal assistant, or administrative professional (law firm experience a plus).
- Proficiency in Google Workspace and experience with Canva
- Ability to work independently, take initiative, and meet deadlines
- Discretion and professionalism are essential
- Strong written and verbal communication skills
- Exceptional organizational skills and attention to detail
Work Requirements
- Must be available during U.S. Eastern Time business hours
- Proficiency in Google Drive
