JOB OVERVIEW

The HR Assistant / AP & AR Specialist provides administrative support to Human Resources while managing day-to-day financial transactions related to accounts payable and accounts receivable. This role ensures accurate employee records, timely vendor payments, efficient billing processes, and compliance with company policies within a fast-paced telecommunications environment.

Key Responsibilities:

Human Resources Support

- Assist with recruitment activities including job postings, applicant screening, interview coordination, and onboarding.
- Maintain employee records, HR databases, and personnel files in compliance with company policies.
- Support new hire onboarding and offboarding processes.
- Monitor employee attendance, leave tracking, and HR documentation.
- Assist with payroll preparation by providing employee data and updates.
- Coordinate employee communications, training schedules, and HR initiatives.
- Ensure confidentiality of employee information at all times.
- Support compliance with labor laws and internal HR policies.

Accounts Payable (AP) Responsibilities

- Process vendor invoices accurately and in a timely manner.
- Verify invoices, purchase orders, and approvals prior to payment.
- Prepare payment schedules including ACH, wire transfers, and checks.
- Maintain vendor records and updated banking information.
- Reconcile vendor statements and resolve billing discrepancies.
- Track expenses and ensure proper cost allocation.
- Assist with month-end closing and financial reporting.

Accounts Receivable (AR) Responsibilities
- Generate and issue customer invoices for telecom services and products.
- Monitor accounts to ensure timely payments.
- Follow up on outstanding balances and past-due invoices.
- Post customer payments and maintain accurate records.
- Reconcile customer accounts and resolve payment disputes.
- Prepare AR aging reports and collection summaries.
- Coordinate with customer service and sales teams regarding billing concerns.

Qualifications

- Bachelor’s degree in Human Resources, Accounting, Business Administration, or related field preferred.
- Minimum 4 years of experience in HR administration, AP/AR, or accounting support.
- Experience in telecommunications, technology, or service-based industries preferred.
- Knowledge of payroll support, billing systems, and accounting principles.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with accounting software (QuickBooks)
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- High level of accuracy and attention to detail.
