Systems Architect & Automation Specialist

The Vision
We are an elite photo booth company in Orange County, providing high-end experiences for weddings, corporate galas, and luxury celebrations. We are transitioning from "manual growth" to "automated excellence."
We are looking for a Systems Architect to build a frictionless, high-converting backend. Your goal is to create a "hands-off" lead-to-event workflow that feels like a concierge service to the client while providing us with total data clarity.
The Core Objectives
1. The "Build-Your-Own" Interactive Experience
We want clients to visit our website and intuitively design their own custom photo booth package.
• Website Integration: Build/integrate an interactive package builder that allows clients to select their booth, backdrop, props, and add-ons.
• Dynamic Pricing: This tool must sync with our pricing logic and flow directly into HoneyBook.
• Inventory Logic: You will perform a full audit of our current assets (booths, printers, backdrops, etc.) and build an inventory management system within the CRM to prevent double-bookings or over-committing resources.
2. The "Golden Path" Workflow (HoneyBook)
Design a high-touch, automated sequence where the client is never left wondering "what’s next?"
• Inquiry ? Custom Quote: Based on their website selections.
• The Legal Lock: Implement a strict "Contract First" logic—the system must require a signature before the payment portal is unlocked.
• Automated Nurturing: Smart
• Pipeline Clarity: A visual stage-gate system: Inquiry ? Quote Sent ? Contract Pending ? Retainer Paid ? Fully Booked.
3. Data & Financial Command Center (Excel/Sheets)
Build a master dashboard that pulls data (via Zapier/Make) to track:
• Revenue Metrics: Monthly totals, deposit statuses, and outstanding balances.
• Inventory Performance: Which packages/add-ons are the most profitable?
• Sales Data: Lead sources and conversion rates.
4. Digital Asset Architecture (Google Drive)
Organize our digital life into a repeatable, scalable structure:
• Standardized event folders (Year > Date > Client).
• Centralized design asset library (Overlays, Logos, Templates).
• Standardized SOPs (Documentation) for how to maintain and scale the system.
The Ideal Candidate
• HoneyBook Power User: You have built complex "Smart Files" and automated workflows.
• Automation Expert: You are proficient in Zapier or
• Inventory Strategist: You understand how to organize physical assets into a digital tracking system.
• Luxury Mindset: You understand that "Automated" must not mean "Robotic." Every touchpoint must feel premium.
Timeline & Budget
• Build Phase: 3–4 weeks (Audit, Build, Automate).
• Testing Phase: 1–2 weeks (Bug testing & UI refinement).
• Budget: Please provide a fixed-price project bid or your hourly rate. We are looking for an expert, not a bargain.
