JOB OVERVIEW

Rhino Restoration is a fast-growing water, mold, fire, and reconstruction company based in Tampa Bay, Florida. We are seeking a detail-oriented, proactive Part-Time Accountant to help maintain clean financial systems, protect job margins, and provide leadership with accurate reporting as we scale.

This is a fully remote role.

Hours: 4–6 hours per day.

We are looking for someone who understands job costing, construction accounting, and how to keep financial operations clean in a fast-paced service business.

Core Responsibilities:

Job Costing & Profitability Oversight:
-Enter and update job cost inputs in our job management software
-Ensure labor, materials, subcontractor invoices, and equipment costs are properly allocated per job
-Conduct weekly job costing audits to identify missing costs
-Flag jobs trending below target gross profit margins
-Assist leadership with margin visibility and job-level profitability reporting

Work-in-Progress (WIP) Reporting:
-Track open jobs and revenue recognition
-Monitor billed vs collected revenue
-Assist in identifying over/under billing situations
-Provide leadership with clean WIP reporting monthly

Accounting & Bookkeeping (QuickBooks):
-Maintain and update QuickBooks
-Perform bank and credit card reconciliations
-Record accounts payable and accounts receivable
-Reconcile vendor statements
-Maintain and improve chart of accounts structure
-Ensure books are CPA-ready at all times

Financial Reporting & Analysis:

Prepare monthly:
-Profit & Loss Statement
-Balance Sheet
-Cash summary
-Assist with budget vs. actual reporting

Track key metrics such as:
-Gross profit %
-Labor % of revenue
-Marketing spend %
-Overhead trends

-Help leadership identify financial red flags early

Insurance & Accounts Receivable Tracking:
-Monitor insurance receivables
-Track AR aging reports
-Identify slow-paying accounts
-Support leadership with cash flow visibility

Vendor & Subcontractor Oversight:
-Track subcontractor W9s and documentation
-Maintain vendor records
-Assist with lien release tracking when needed
-Ensure proper 1099 tracking and reporting

Equipment & Asset Tracking:
-Maintain equipment and fixed asset list
-Track depreciation schedules
-Monitor large equipment purchases
-Assist leadership with equipment ROI visibility

Payroll & Contractor Support:
-Assist with W2 payroll processing
-Track and process 1099 contractor payments
-Maintain payroll documentation
-Support payroll tax compliance tracking

Commission Calculations:
-Assist in calculating project manager commissions
-Verify margin-based bonus calculations
-Ensure payouts are accurate and documented

Tax Preparation Support:
-Maintain organized financial documentation
-Support CPA during tax season
-Assist with estimated tax tracking
-Support sales tax tracking if applicable

Qualifications:
-3+ years bookkeeping or accounting experience
-Strong QuickBooks proficiency
-Experience in construction, restoration, or job-costing environments preferred
-Strong understanding of WIP reporting
-Highly detail-oriented
-Organized and systems-minded
-Comfortable working independently in a remote environment
