Finance & Accounting Setup Specialist (Project-Based, Remote)

I am the Founder & Lightkeeper of Go Travel Community, a purpose-driven travel startup preparing for launch.

We are building a structured, scalable accounting foundation before growth accelerates. This is a short-term project role for a finance and accounting professional who can help design and implement our accounting infrastructure correctly from the beginning.

The goal is to set up QuickBooks properly, organize financial workflows, and create clean systems that my Executive Assistant will maintain after the project is completed.

This is not a bookkeeping maintenance role.
This is a build-the-foundation role.

Project Scope & Responsibilities:

QuickBooks Infrastructure Setup

• Configure QuickBooks Online for a travel startup
• Build a clean chart of accounts tailored to travel services, memberships, commissions, and contractor payouts
• Properly categorize revenue streams (memberships, booking fees, Airbnb management, advisor splits)
• Configure expense tracking structure
• Set up recurring invoices and payment tracking (Stripe integration awareness helpful)

Systems & Financial Workflow Design

• Create clear documentation for monthly bookkeeping processes
• Build workflows for tracking travel advisor commissions
• Establish reconciliation procedures
• Create simple reporting dashboards for:
• Revenue by category
• Contractor payouts
• Profit tracking
• Donation allocation (10% giveback model)

Documentation & Handoff

• Provide step-by-step documentation
• Record Loom videos explaining processes
• Train Executive Assistant on ongoing maintenance
• Ensure systems are clean, scalable, and easy to maintain

Required Skills:

• QuickBooks Online setup & configuration
• Accounting systems implementation
• Chart of accounts design
• Reconciliation procedures
• Strong Excel or Google Sheets skills
• Clear documentation and process building

Ideal Experience:

• Experience working with startups
• Familiarity with service-based businesses
• Experience working with commission-based models
• Understanding of contractor payouts
• Stripe or payment processor integration awareness

Compensation:

• $4–$7 USD per hour based on experience
• Estimated 4–8 week project
• Flexible hours
• Potential for future project-based work
