POSITION 1: LEAD EXECUTIVE ASSISTANT & PROJECT MANAGER (ARCHITECTURE BACKGROUND)

(Full-Time | Remote | UK Time)

Hours: 40 hours/week | UK Time: 8:30 AM – 5:30 PM
Salary: USD 650/month

About Us

Virtue Architecture and Design Ltd is a growing London-based architectural practice specialising in residential extensions, loft conversions, and selected new-build and interior projects.

We are known for our strong organisation, professionalism, and excellent client relationships. As we continue to expand, we are looking for a highly capable Lead Executive Admin / Project Manager who will work directly with the Executive and oversee daily operations, client communication, and project coordination.

The Role

This is a lead role at the core of the business. You will act as the Executive’s right hand—managing clients, coordinating projects, reviewing outputs, and guiding the Support Admin and drafting team.

An architecture or construction background is strongly preferred, and candidates who are architecture graduates, licensed architects, or have equivalent architectural experience will be highly regarded.

Key Requirements
-Architecture Graduate, Licensed Architect, or Architecture/Construction background encouraged
-Full-time availability (40 hours/week)
-Able to work UK (London) hours consistently
-Strong leadership, coordination, and decision-making skills
-Excellent written and spoken English
-Confident on client calls, video meetings, and Architectural presentations
-Highly organised and detail-oriented
-Comfortable reviewing drawings and technical information
-Willing to step into AutoCAD or drafting tasks when required (strong advantage)
-Familiarity with UK Planning or Building Control is a plus (training provided)

Key Responsibilities

Executive & Business Support
-Work directly with the Executive and follow instructions accurately
-Manage calendars, meetings, priorities, and daily workflows
-Prepare invoices, company documents, and internal records
-Compile monthly project and progress reports
-Improve systems, workflows, and internal organisation

Client & Team Management
-Handle client emails, calls, and follow-ups professionally
-Lead client communication and ensure clarity at all stages
-Distribute instructions to the Support Admin and Drafting team
-Monitor progress, deadlines, and quality of work
-Review team outputs and respond to queries clearly

Project & Technical Oversight
-Review Architectural/Construction drawings, layouts, and documentation
-Interpret client revision requests and mark up instructions
-Coordinate planning applications and building control submissions
-Communicate with UK planning officers and external consultants
-Confidently present proposals in meetings and pre-application discussions
