Job Title: Operations & Automation Systems Specialist
About the Role
Trailzi is looking for an Operations & Automation Systems Specialist who understands that no AI or automation is effective without rock-solid process documentation.
This role is for an "Operations Wiz" who balances a big-picture lens with a willingness to get into the weeds of daily workflows. You won’t just be managing projects; you will be the architect of our efficiency—auditing how we work, documenting those processes into usable SOPs, and then building the automation layers to make those processes faster and smarter. We are looking for a builder who can identify where modern AI tools can replace manual tasks and then turn those recommendations into reality using light AI tools and middleware.
What You’ll Do
- Audit & Document: Lead the discovery and documentation of company-wide process workflows, translating them into clear, actionable SOPs.
- Optimize with AI: Identify specific nodes in our workflows where AI can improve speed and accuracy; implement these improvements using tools like Custom GPTs.
- Build Automation: Connect process outputs and automate data flows between platforms using middleware such as n8n, Zapier, or Make.
- System Maintenance: Ensure all automated workflows are functioning at peak performance, troubleshooting errors, and updating documentation as systems evolve.
- Bridge the Gap: Act as the link between raw business operations and high-efficiency automated systems, ensuring technology serves the process, not the other way around.
What We’re Looking For
- Process Mastery: Proven experience in project management and mapping complex process workflows into professional SOPs.
- Automation Expertise: Deep functional knowledge of n8n, Zapier, or Make, including experience with JSON parsing and API integrations.
- AI Savvy: Hands-on experience building and deploying "light" AI solutions, such as Custom GPTs or prompt-engineered assistants.
- Systems Thinking: The ability to look at the "big picture" of a company’s operations while maintaining meticulous attention to detail in documentation.
- Tool Proficiency: Familiarity with documentation tools (e.g., Notion, Scribe, Miro) and common business SaaS platforms.
- Self-Starters: Ability to ideate and execute improvements independently in a remote, contractor-based environment.

Hiring Process
1. Submit your resume and—more importantly—examples of previous workflow maps or SOPs you’ve built. We want to see how you think on paper.
2. Selected candidates will be invited to a digital interview to record video responses to a few situational questions.
3. Qualified candidates will jump on a live Google Meet with us. We’ll talk through your experience and run a "light" skills test where we’ll describe a messy process and ask you to optimize it on the fly.
4. Finalists will be assigned a paid technical project to draft a formal SOP and design a functional automation logic. This is your chance to show us your "wizardry" in action before we make a final decision.
