Role: Marketing Coordinator (Part Time)
Role Overview
We're looking for a Marketing Coordinator (contractor via agency) to be the execution engine for the EFC account.
You will not be responsible for building marketing or business strategy. Instead, you will receive clear direction and priorities from EFC's Head of Marketing and turn that direction into clean, on-time execution: building HubSpot landing pages and campaigns, assembling and scheduling
This role is ideal for someone who loves details, lives in HubSpot, and enjoys making complex, multi-channel campaigns run smoothly.
Key Responsibilities
1. Campaign & Content Execution (HubSpot)
? Build, clone, and update HubSpot landing pages:
? Use existing templates to create new pages and occasionally build new layouts in the drag-and-drop editor.
? Apply basic SEO settings (page title, meta description) and follow tracking/UTM protocols provided by leadership, consultants, or the ads agency.
? Build, assemble, and schedule
? Monthly coaching/RTS calls
? 8–10 regional events per year
? Annual summit
? Ongoing newsletters and promotions
? Use existing newsletter templates and brand guidelines to build and lightly design
? Build and schedule SMS campaigns for reminders and show-up boosts using provided messaging and timing guidelines.

2. Events & Webinar Marketing Support
? For each monthly call and in-person event, following checklists and instructions:
? Set up and maintain Zoom Webinars (titles, descriptions, dates, times, links).
? Create/update
? Confirm all registration pages, confirmation
? Assemble and schedule call recap
? Use copy provided by Events/Education.
? Insert timestamps and replay links provided by the Head of Marketing or Events.
3. HubSpot & Funnel Operations
? Clone and update existing workflows for recurring events and campaigns:
? Adjust dates, Zoom links, lists, and
? Do not design new architecture; follow existing structures and standards.
? Build and maintain lists in HubSpot for:
? Invitees, registrants, attendees, no-shows, and follow-up segments.
? Execute campaign builds in alignment with the HubSpot structure defined by EFC
? You will implement, not design, workflow logic.
? Ensure leads flow into the correct pipelines according to routing rules provided by Sales and Marketing.
4. Social Media, YouTube, and Content Repurposing
? Execute and maintain the social media calendar:
? Based on outlined topics and direction from the Head of Marketing, suggest post topics for approval.
? Once topics are approved, draft captions and coordinate graphics/content for final approval and scheduling.
? Design and adapt social media graphics using existing brand templates (e.g., in Canva or Adobe), updating text, images, and layouts while staying on-brand.
? Re-use and adapt existing creative templates for recurring campaigns (events, calls, promos) rather than creating new designs from scratch each time.
? Community support :
? Check social comments/DMs regularly and flag important or urgent items to the appropriate person (Marketing, Sales, Events).
? Response to comments with guidance if needed.
? Video clipping and repurposing:
? Use Opus (and similar tools) to generate clips from calls and events (Opus auto-detects moments; you will work from selections and priorities given by leadership).
? Adjust aspect ratios and simple titles/overlays/captions as needed for different platforms.
? Upload clips to YouTube and into social scheduling tools based on the approved content plan.
? YouTube management:
? Upload full replay videos and clips.
? Add titles, descriptions, tags, and thumbnails according to brand guidelines and direction provided.
5. Podcasts & Link Management
? Podcast uploads:
? Take provided audio and episode descriptions and upload to the Spotify creator account (and any other designated platforms).
? Ensure episodes go out on the established twice-a-month cadence and are accurately titled and described.
? Linktree / "link in bio":
? Update Linktree on an ad hoc basis when directed (new campaigns, events, content).
? Add, remove, and reorder links according to priorities and CTAs provided by the Head of Marketing.
6. Reporting, QA, and KPI Support
? Provide weekly performance snapshots, using defined templates and metrics:
? Lead and registration counts by campaign
? Event attendance metrics
?
? Basic social and YouTube highlights
? Assist the Head of Marketing by gathering data for weekly KPI reporting before weekly leadership meetings.
? Run pre-launch QA for all major sends:
? Test
? Verify links, forms, and tracking
? Confirm correct lists and workflow settings according to provided instructions.
7. Asset Management & Documentation
? Maintain an organized asset library:
? Store and reuse social and newsletter templates, graphics, and campaign layouts so future builds are faster and more consistent.
? Keep links, docs, and creative assets easy to find.
? Update SOPs and checklists when processes change, based on direction from the Head of Marketing (e.g., new Zoom steps, workflow adjustments, updated event structure).
Availability & Collaboration
? This is a full-time contract role with expected availability 9am–5pm EST.
? You may occasionally provide live backup support during webinars and events for emergency fixes (e.g., link corrections, last-minute send adjustments), as directed.
? You will interact with other departments for information and assets only, not for strategy-building:
? Head of Marketing – your direct manager; all strategy and priorities come from here.
? Events/Education – provides event details and copy for recaps.
Who You Are
Must-Haves
? 2–4+ years experience in digital marketing coordination or campaign execution.
? Hands-on experience with HubSpot (or a similar marketing automation platform):
? Comfortable building
? Experience executing
? Experience designing and adapting graphics using existing templates and brand guidelines (e.g., in Canva or Adobe) for:
? Social media posts

? Basic promotional assets (event tiles, simple banners)
? Strong organizational habits and attention to detail; able to handle multiple overlapping campaigns and deadlines.
? Able to work primarily in EST hours (9–5) and communicate clearly with a senior marketing lead.
Nice-to-Haves
? Experience in SaaS, membership, or education-based businesses.
? Familiarity with webinar/event-driven marketing and recurring call promotion.
? Experience with YouTube management and clipping tools like Opus.
? Understanding of paid media funnels (Meta, Google, YouTube) and how they connect to landing pages and workflows—purely so you can implement requests accurately, not design media strategy.
