## About the Role

We are building the operational backbone for a growing financial services business and related ventures. We are looking for an **Operations & Automation Manager** to design, connect, and optimize the systems that power our lead flow, sales process, and internal operations.

We currently use multiple tools (WordPress/Elementor, CRM platforms, scheduling tools, automation software, AI communication tools, etc.) and need a strong operator to centralize everything into one clean, scalable system.

Your job is to turn disconnected tools into a unified engine that supports growth.

## What You Will Own

### 1. Systems Architecture & Integration

* Connect website, CRM, scheduling, and communication tools into a seamless workflow
* Build and manage automations using platforms such as n8n, Make, or Zapier
* Ensure leads from web forms, outreach, and AI voice tools flow correctly into pipelines
* Reduce tool overlap and create a "single source of truth"

### 2. CRM & Sales Pipeline Infrastructure

* Design and optimize CRM pipelines (lead ? booked ? sold ? retention)
* Build automations for follow-up, reminders, no-shows, and re-engagement
* Maintain clean data and clear ownership of every stage
* Ensure the system supports increasing lead volume without breaking

### 3. Website & Conversion Infrastructure

* Build and maintain WordPress (Elementor) pages focused on conversion
* Optimize lead capture flows and booking systems
* Ensure technical stability when integrating plugins, video tools, or AI systems
* Implement SEO and FAQ/AEO structures that support growth

### 4. Automation & AI Communication Systems

* Integrate AI voice and communication tools into CRM workflows
* Ensure calls, texts, and emails trigger the correct automations
* Build logic that supports both inbound and outbound lead flow

### 5. Business Intelligence & Leadership Dashboards

* Build and maintain a leadership dashboard (CRM-based or Airtable/Looker Studio)
* Track key KPIs such as:

* Leads generated
* Appointments booked
* Conversions
* Revenue
* Provide clear visibility into operational health

### 6. SOPs & Scalability Planning

* Document all systems clearly
* Prepare processes for delegation to future hires
* Identify bottlenecks before they become problems
* Recommend future role structures as the business grows

## Required Experience & Skills

* Strong experience with automation platforms (n8n, Make, Zapier, or similar)
* Proven CRM pipeline design and automation experience
* WordPress/Elementor proficiency
* Comfortable working with APIs, webhooks, and integrations
* Strong systems thinking and problem-solving ability
* Clear written English and documentation skills

## Work Details

* Full-time (40 hours per week)
* Long-term role
* Must overlap with U.S. Eastern Time for at least 4 hours daily

## Compensation

* $1,000 – $1,600 USD per month (based on experience)
