Operations Manager VA – Content Organization & Workflow Management
Location: Remote (Philippines-based)
Hours: Full-time or Part-time (flexible, overlap with EST mornings)
Pay: $ ---------- USD/hour (depending on experience)

About the Role
We are a fast-moving media & education business seeking a detail-oriented, proactive Operations Manager VA to organize our large video content library for an upcoming course launch.
This is NOT just a “task-doer” role — you will create the structure, manage people, and ensure the final product is perfectly organized and ready to use.

Responsibilities
Content Organization:

Create & maintain a clear file/folder structure for our video library (Google Drive/Dropbox)

Implement a consistent naming convention for course videos (Modules, Lessons, Topics)

Tag, categorize, and sort raw video files into the correct modules

Process Creation & Management:

Work with an internal apprentice to understand the project vision and translate it into an SOP

Document processes so they can be reused for future projects

Team Oversight:

Manage one or more PH-based VAs who will handle bulk sorting work

Assign tasks, track progress, and perform quality checks before final delivery

Reporting:

Send regular progress updates to leadership

Flag missing files, duplicate content, or issues for quick resolution

Requirements
3+ years of VA experience with operations, project management, or content organization

Proven experience managing small teams or delegating work effectively

Strong skills with Google Drive, Dropbox, Asana/Trello, and basic video file handling

Excellent written communication (clear task instructions & status reports)

High attention to detail — can spot errors or inconsistencies without being told

Proactive problem-solver who takes initiative without constant follow-up

Preferred (but not required)
Experience working with coaches, course creators, or digital content-heavy businesses

Familiarity with Loom for video updates and Google Sheets for content logs

Basic understanding of video file types and metadata
