Medical Virtual Assistant (Remote, 20+ hrs/week) Pharmacy Order Coordinator
Position Summary

We are hiring a Remote Medical Virtual Assistant to support clinical operations, with a primary focus on placing and tracking pharmacy orders. You will work closely with providers and the internal team to ensure prescriptions, compounded medications, and related orders are submitted correctly, followed through to completion, and documented in the EMR.

This is a part-time to full-time role, starting at 20 hours per week, and must align with Eastern Time business hours.

Key Responsibilities

Place pharmacy orders accurately based on provider direction and established protocols

Coordinate with partner pharmacies on order status, clarification requests, refills, and shipping updates

Track orders from submission through delivery and resolution using internal trackers

Maintain clean documentation in the EMR and ensure all order related notes are complete

Verify patient demographics and required intake items needed for pharmacy processing

Escalate time sensitive issues to the appropriate tea ---------- mber promptly

Support light administrative tasks as needed depending on workload

Required Qualifications

Licensed Physician (MD/DO) or Licensed Pharmacist (PharmD or equivalent) with relevant degrees and ability to verify licensure

Experience with medication ordering workflows (pharmacy coordination, refills, compounded orders, prior authorization support, or similar)

Experience using EMRs (Cerbo experience is a bonus)

Fluent in English with strong written communication

Able to work reliably on Eastern Time and meet turnaround expectations

Detail oriented, organized, and comfortable following SOPs precisely

Preferred Qualifications

Experience with compounded medications, peptides, and hormone therapy related pharmacy workflows

Experience in functional medicine or cash pay clinic environments

Familiarity with HIPAA compliant documentation and communication

Remote

20 hours per week to start

Availability required during Eastern Time business hours (consistent blocks strongly preferred)

Orders are placed correctly the first time with minimal back and forth

Pharmacies receive fast responses and patients receive medications on time

EMR documentation is complete, clear, and easy to audit

Providers feel unblocked and patient experience improves
