JOB OVERVIEW

We are hiring a high-impact Executive Assistant to support two Managing Partners in a fast-moving operating environment. This role is designed for someone who enjoys creating structure, maintaining ---------- ntum, and ensuring that priorities move forward smoothly.

You will work closely with leadership to manage communication, scheduling, task flow, and follow-ups, helping the organization operate efficiently and proactively.

Ensure that leadership priorities are organized, actioned, and followed through, so the Managing Partners can stay focused on strategic work.

You will help turn conversations and ideas into clear actions, keep work moving, and make sure nothing important gets missed.

KEY RESPONSIBILITIES

Communication and Inbox Management
• Organize and prioritize email communications
• Draft responses and flag items requiring decisions
• Track follow-ups and ensure timely closure

Calendar and Time Management
• Schedule meetings and manage calendars
• Identify conflicts and optimize schedules
• Prepare leaders for upcoming meetings

Slack and Task Coordination
• Monitor key Slack channels and leadership mentions
• Translate conversations into actionable Asana tasks
• Ensure tasks have clear owners, deadlines, and next steps

Asana Ownership
• Maintain executive-level boards as the system of record
• Track progress and follow up on open items
• Surface risks or delays early

Meeting Support
• Prepare agendas in advance
• Capture notes, decisions, and action items
• Coordinate post-meeting follow-ups

Presentation and Administrative Support
• Coordinate presentation materials and ensure readiness
• Perform light PowerPoint or Google Slides formatting
• Track key deadlines, contracts, and invoices

HOW YOU WILL OPERATE

• Work proactively and anticipate needs
• Propose next steps when items stall
• Communicate clearly and consistently
• Keep systems organized and up to date
• Escalate decisions and risks with context

REQUIREMENTS

• 3+ years experience supporting executives or senior leaders
• Strong written communication and organizational skills
• High attention to detail and follow-through
• Comfort working in Slack, Asana, and Google Workspace
• Ability to manage multiple priorities effectively
• Reliable availability during EST or PST business hours

PREFERRED QUALIFICATIONS

• Experience supporting founders or managing partners
• Background in fast-paced or operational environments
• Comfort working cross-functionally
