JOB OVERVIEW

ROLE: Intellectual Property (IP) Portfolio Assistant LOCATION: Remote / Hybrid (Focus on Latin America) REPORTS TO: Senior Partner

POSITION SUMMARY: We are a premier boutique IP firm managing high-stakes trademark and patent portfolios for global leaders (Fortune 500, Tech Giants, and Government Agencies) across Latin America. We are seeking a high-performance IP Assistant to provide strategic operational support to a Senior Partner. This is not just an administrative role; it requires a candidate who can navigate complex legal workflows, manage digital ecosystems, and deliver world-class client service.

KEY RESPONSIBILITIES:

Workflow & Email Governance: Categorize and prioritize high-volume legal correspondence; draft precise responses for partner approval.

Client Onboarding & Lifecycle Management: Guide international clients through the onboarding process, ensuring compliance with regional regulations.

Strategic Docketing: Maintain and audit the IP management system (Docketing) with zero-error tolerance for deadlines (Trademarks/Patents).

Account Management: Prepare detailed quotes, handle general legal inquiries, and provide proactive case status updates.

Process Optimization: Support the implementation of legal-tech tools (CRM/AI) to enhance firm productivity.

REQUIRED QUALIFICATIONS:

Education: Bachelor’s degree in Law, International Business, or related fields.

Detail Obsession: Proven ability to manage meticulous data entry and complex filing requirements.

Technical Agility: Fast learner of new software (Salesforce, ---------- , or specialized IP docketing tools).

Language: Full professional proficiency in English and Spanish (mandatory). Portuguese or French is a plus.

Mindset: Self-motivated, "problem-solver" attitude, and capable of working under pressure in a high-growth environment.

DESIRABLE SKILLS:

Prior experience in IP law firms or managing regional (LATAM) legal portfolios.

Familiarity with international IP treaties and local patent/trademark office procedures.

Interest in the intersection of Law and Technology.
