We are a growing Canadian real estate investment and property management group managing mid- to large-scale multi-family buildings. We operate with documented SOPs, clear approval limits, and a structured workflow.
We are looking for an experienced Property Management VA with real Buildium experience who can step into an active portfolio and operate independently.
***This is not an entry-level role. Buildium experience is mandatory.***
Primary Responsibilities
Manage maintenance requests and tickets in Buildium
Coordinate maintenance workflows and follow-ups
Handle tenant communications strictly within Buildium
Prepare and issue tenant notices (N4, N1, etc.) as instructed
Maintain accurate tenant notes and documentation
Follow existing SOPs precisely
Escalate issues according to defined approval limits
Support weekly operational reporting
Required Experience (Non-Negotiable)
Hands-on Buildium experience (daily operational use)
Prior experience supporting property management operations
Experience managing maintenance workflows
Experience handling tenant communications professionally
Strong written English
Ability to work independently with minimal supervision
High attention to detail and accountability

Nice to Have
Experience with Canadian property management
Familiarity with N4 / N1 notices
Experience with multi-family properties
Experience working within structured SOP environments
Work Structure
Day shift aligned with EST
All tenant communication via Buildium only
Clear approval thresholds
Weekly and monthly accountability
Probationary period with intent to retain long-term
