JOB OVERVIEW

Position: Executive Assistant
Salary: $4/hr
Job Type: Part-time (20 hours per week), may increase to full-time
Working Hours: Monday to Friday, 12:00–16:00 UK time

Your main responsibilities will be to:

- Manage client communications: Respond to inquiries from the website through WhatsApp and email, acting as the first point of contact.
- Arrange appointments and manage diaries: Schedule client appointments, coordinate with the practitioner, and send necessary paperwork.
- Process weekly invoices using Xero.
- Research business funding activities.
- Administer new mental health processes: Assist with administrative tasks for new processes within the sector.
- Create backups for client notes: Transfer notes from digital systems to maintain secure backups.
- Update social media: Post prepared content regularly (no content creation required).
- Optimize processes and workflows: Identify areas for improvement to streamline administrative and operational tasks.
- Setup Zoo ---------- etings for client consultations and internal meetings.
- Other personal admin-related tasks as instructed.

You MUST:

- Be proactive and act on your own initiative.
- Communicate in English sympathetically.
- Demonstrate empathy in client interactions.
- Be highly organized and able to manage multiple tasks efficiently.

Must-have qualifications:

- Minimum 1 year of experience as an Executive Assistant or Personal Assistant.
- Proficient in Google Workspace, mainly Gmail, Docs, and Drive.
- Experience in research
- Experience in customer service.
- Experience in email management and diary management (Google Calendar).

Additional, nice-to-have qualifications:

- Experience with Xero invoicing.
- Familiarity with administrative processes in mental health or healthcare sectors.
- Experience in social media updates and basic content management.
- Knowledge of process optimization or workflow improvement techniques.
