About Us
Healthcare Business Academy is a fast-growing coaching and software platform that helps physical therapists and chiropractors build profitable, cash-based practices through automation and business systems. We move fast, build smart, and are obsessed with using technology to eliminate manual work and scale operations. We're looking for someone who shares that obsession.
---
**The Role**
We're hiring an AI & Workflow Automation Specialist to own and expand our automation infrastructure. You won't be watching tutorials and figuring things out from scratch — you'll be building, shipping, and improving systems from day one. This role sits at the center of everything we do: client delivery, internal operations, marketing, and product development.
You'll work directly with leadership to design, build, and maintain AI agents, automated workflows, and integrated systems across our entire tech stack.
---
What You'll Be Doing
- Building and maintaining automation workflows in N8N (this is our primary orchestration tool — you need to know it well)
- Designing and deploying AI agents that handle real tasks: answering client questions, processing data, triggering actions across platforms
- Integrating tools across our stack — connecting Supabase, Airtable, Notion, Slack, GHL, and any new tools we bring in
- Creating and documenting SOPs for every system you build so the team can understand and maintain them
- Working with our Supabase database for vector storage, RAG pipelines, and structured data management
- Identifying bottlenecks and manual processes across the business and proposing automation solutions
- Managing and optimizing our GHL (GoHighLevel) automations, including marketing sequences, pipeline workflows, and client communication
- Staying current on AI tools, APIs, and emerging automation approaches and bringing new ideas to the table
---
What We're Looking For
- Strong hands-on experience with N8N (not optional — this is core to the role)
- Experience building AI agents using LLMs (OpenAI, Anthropic/Claude, or similar) including prompt engineering, function calling, and RAG architectures
- Proficiency with Supabase (or PostgreSQL + vector databases in general)
- Working knowledge of Airtable, Notion, Slack integrations, and API-based tool connections
- Experience with GoHighLevel is a strong plus
- Ability to think in systems — you see how tools connect and where automation creates leverage
- Strong documentation habits — if you build it, you can explain it clearly
- Self-starter who doesn't need to be micromanaged — you take ownership, communicate proactively, and solve problems independently
- Comfortable working in a fast-paced environment where priorities shift and speed matters
---
Bonus Points
- Experience with Make (Integromat), Zapier, or other automation platforms in addition to N8N
- Familiarity with Meta Ads API, marketing automation, or CRM workflows
- Background in SaaS, coaching/education businesses, or healthcare tech
- Experience with web scraping, data pipelines, or backend development (Python, JavaScript/Node)
- Understanding of prompt engineering best practices and LLM fine-tuning concepts
---
Schedule & Setup
- Full-time role (40 hours/week)
- Hybrid setup: Remote with 1-2 days per week in-person at our BGC location
- Must be available to align with US Eastern Time for key meetings and collaboration windows
---
Why This Role
This isn't a VA role where you're following a checklist. You'll be building the systems that run and scale a multi-six-figure business. You'll have direct access to decision-makers, real ownership over what you build, and the freedom to propose and implement your own ideas. If you're the kind of person who gets excited about making things work seamlessly and eliminating inefficiency, this is your role.

How to Apply
Send your application with the following:
1. Your resume or CV
2. A short Loom video (3-5 minutes) walking us through one automation or AI agent you've built — show us the workflow, explain your thinking, and tell us the result it produced
3. A brief note on which tools in our stack you're most experienced with and which you'd need to ramp up on
Applications without a Loom video will not be reviewed.
