JOB OVERVIEW

Long-Term Role | Work Directly With Founder

I run a growing property investment company. I am looking for a high-level Executive Virtual Assistant who can support me not only with admin tasks, but also with my ADHD and neurodivergent working style.

This is not a basic VA position.

This is a role for someone who can become my right-hand person, my second brain and help me stay organised, focused and consistently moving forward without overwhelm. If you love structure, planning, problem-solving and turning chaos into clarity then you will love this role.

Who This Role Is For?

This role is for someone who:

- Thinks clearly under pressure

- Can handle open-ended tasks and ambiguity

- Takes initiative without needing constant instructions

- Enjoys planning, organising, prioritising and execution

- Is confident keeping someone accountable (in a respectful way)

- Communicates clearly and professionally

- Understands ADHD time blindness, procrastination cycles, overwhelm, distraction and mental overload

- You do not need to have ADHD yourself, but you must understand how it works.

Core Responsibilities
1. Daily Planning and Priority Management

- Build my daily to-do list based on priorities

- Break large tasks into clear step-by-step action plans

- Help me d ---------- what matters most today, not just what feels urgent

2. Accountability and Focus Support (Body Doubling)

- Keep me on track throughout the day

- Ask what I am doing right now

- Ask what I have completed

- Help redirect me when I get distracted

- Help manage time blindness and task drift

3. Execution and Task Completion

- A major part of this role is execution.

- I should be able to say "Get this done" and you figure out the next steps.

You will:

- Follow up with people (agents, clients and other persons as necessary)

- Organise documents, information and workflows

- Manage inbox tasks and business admin tasks

- Track tasks and ensure completion

4. Problem Solving and Decision Support

- Help me work through my thoughts when I am stuck

- Help identify the best option and next step

- Assist with decision making and prioritisation

5. Life Admin and Business Coordination

- You will coordinate both my personal and business life including:

- Scheduling

- Reminders

- Tracking deadlines

- Following up tasks until completion

- Managing loose ends and unfinished tasks

6. Review Protocol (Very Important)

- Before I send emails or messages, you will:

- Review drafts

- Improve clarity and professionalism

- Ensure communication is aligned with business goals

- Help prevent rushed or impulsive replies

7. One-Off Research Projects

Occasionally, you will assist with deep research tasks such as:

- Competitor research

- Market research

- Tool and software comparisons

- Summarising findings and making recommendations

- Daily Work Style

- This role requires frequent communication.

Expect:

- Daily check-ins

- Regular messaging throughout the day

- Task tracking and follow-ups

- Short structured accountability calls when needed

- This is not a role where you work quietly in the background.

- This is a hands-on, high-involvement executive support role.

Ideal Candidate Traits

You are someone who is:

- Extremely organised

- Proactive and self-directed

- Confident and assertive (while still respectful)

- Strong at written communication

- Comfortable with reminders and follow-ups

- Detail-oriented

- Calm under pressure

- Strong at prioritising and simplifying complex information

- Growth Opportunity

If you perform well, this role can expand into:

- Operations management

- Executive assistant leadership responsibilities

- Workflow and team coordination

This is a serious long-term opportunity for the right person.

How to Apply (Important)

To apply, you must follow these instructions carefully.

Your application must include:

- A short introduction about yourself

- Your experience as a VA or executive assistant

- Why you believe you would be great at supporting someone with ADHD

- A short example of how you would structure a chaotic day into a clear plan

A video introduction (2 to 4 minutes) explaining:

- Who you are

- Your work background

- Why you are a good fit for this role

- The phrase "I can be your second brain" somewhere in your application

Important: In the subject line of your application, you must write:

ADHD EXEC VA

Applications without this exact subject line will be ignored.

This Job Is Not For You If:

You need detailed instructions for every task

You struggle with open-ended tasks

You dislike accountability work

You prefer minimal communication

You are not confident making decisions and taking initiative

Final Note:

I am looking for someone loyal, sharp and committed, someone who can help me stay focused and execute at a high level.

If this sounds like you, apply now.

I am hiring immediately.
