About the Role
We’re hiring a detail-obsessed, highly reliable bookkeeper based in the Philippines to support our US-based business. You’ll own day-to-day bookkeeping in QuickBooks Online, keep accounts clean and current, and help produce monthly financials we can trust.
This is a long-term role for someone who communicates clearly, loves clean books, and can work independently with minimal hand-holding.
Responsibilities
• Maintain accurate and timely books in QuickBooks Online (QBO)
• Categorize transactions and ensure proper coding to the correct accounts/classes
• Reconcile bank and credit card accounts monthly (and ideally weekly check-ins)
• Manage Accounts Payable (vendor bills, scheduling payments, tracking due dates)
• Support Accounts Receivable (invoice tracking, payment matching, aging follow-up)
• Record and reconcile payouts from payment platforms (ex: Stripe/PayPal, etc. if applicable)
• Create and maintain monthly close workflow:
• Reconciliations complete
• Accruals/adjustments entered (as needed)
• Financial statements prepared (P&L, Balance Sheet, Cash Flow)
• Track and document any anomalies (duplicate charges, missing receipts, miscategorizations)
• Maintain a clean digital filing system for receipts and supporting docs (Google Drive/Dropbox)
• Coordinate with our US-based CPA for tax season and year-end reporting
Requirements (Must-Have)
• Based in the Philippines with stable internet and a professional work setup
• 2+ years bookkeeping experience for US-based businesses
• Strong working experience in QuickBooks Online
• Solid understanding of:
• Chart of Accounts
• reconciliation best practices
• accrual vs. cash basics
• month-end close
• Excellent English communication (written + async updates)
• High attention to detail (you catch issues before they become problems)
• Comfortable handling sensitive financial data with confidentiality
Nice-to-Have
• Experience with HubSpot (payments/CRM), Stripe, PayPal, or similar tools
• Experience with multi-entity or multi-department accounting (classes/locations)
• Basic payroll support (processing support + tracking, not necessarily running payroll)
• Experience creating simple management reports (monthly highlights, trends, anomalies)
