Role Overview:
I’m looking for a reliable, organized Lead Generation and Outreach Virtual Assistant to help me stay on top of outreach and keep everything in my CRM neat and up to date. Your main focus will be building and managing lead lists, supporting outreach to partners, and tracking follow-ups so nothing gets missed.
You won’t be doing sales calls or closing deals—this role is strictly about support. I just need help keeping the pipeline organized, building lists, and making sure outreach efforts are tracked clearly and consistently.
You’ll also help with some light admin and executive support, like managing my calendar and inbox, drafting simple professional
Requirements:
*Must be able to work 20 hours/week
*Must be able to work 9am-1pm Mountain Time (US)
*Must have strong written and verbal communication
*Highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
What You’ll Do:
Must-Have Experience (Responsibilities You Must Be Proficient In)
These are the tasks the VA needs to handle independently and confidently from day one:
Lead Generation, Marketing Support, and CRM Management
*Manage leads and referral partners by initiating contact, following up, and nurturing relationships
*Maintain and update the CRM (ClickUp) with accurate contact and activity information
*Prepare targeted outreach lists for potential partners
*Create lead lists according to existing ICPs
*Draft and send
*Help execute
*Keep track of the overall success of campaigns (you won’t be responsible for sales calls, close rates, or any of the later stages of the sales process)
*Assist with creating and sending content proposals to partners; support relationship-building efforts (e.g., scheduling coffee meetings with agency owners to build partnerships).
Administrative & Executive Support
*Manage Luke’s calendar (schedule appointments, set reminders) using Google Calendar
*Oversee and organize
*Draft and edit professional
*Conduct occasional research on industries, competitors, or client topics as needed.
Nice-to-Have Experience (Responsibilities You Can Learn Over Time)
These tasks are valuable but can be trained on the job:
*Collaborate with Luke to refine business processes for efficiency
*Implement recurring workflows or automations for
*Oversee the weekly sales scorecard, tracking key performance metrics (lead outreach, partner engagement, etc.)
*Conduct competitor research to inform marketing strategy.
*Additional duties as needed:
- Research new software tools and automations that improve efficiency.
- Assist with personal projects, such as property maintenance tasks (e.g., researching contractors for HVAC, plumbing, landscaping; obtaining quotes; coordinating service calls).
- Retrieve specific information from archives,
- Handle miscellaneous projects aimed at optimizing Luke’s schedule and workflow.
