Executive Assistant / Operations Coordinator (High-Autonomy Role)
Overview
We are scaling two fast-growing businesses:
1. A residential roofing company
2. A media brand serving girl dads
We’re looking for an exceptional Executive Assistant who can operate with minimal oversight, anticipate needs, and take ownership of execution across operations, marketing, reporting, and administrative support. This role is critical to freeing up the founder’s time and ensuring both businesses run smoothly as they scale.
This is not a role for someone who needs daily direction. You must be a proactive problem-solver who sees what needs to be done and does it.
Core Responsibilities
Executive & Administrative Support
* Manage calendar,
* Prioritize tasks, flag issues, and proactively manage deadlines
* Organize systems, documents, SOPs, and internal workflows
* Act as a gatekeeper to protect the founder’s time and focus
Marketing & Content Execution
Email
* Draft and send daily
* Draft and send 2
* Coordinate content ideas, scheduling, and basic performance tracking
Social Media
* Post **daily content** to roofing and girl-dad social media accounts
* Coordinate captions, scheduling, and platform consistency
* Repurpose content efficiently across platforms
Roofing Business Operations
Hiring & HR Support
* Review resumes and screen candidates
* Schedule interviews and manage hiring pipelines
* Coordinate onboarding tasks as needed
CSR Management
* Support and manage the Customer Service Representative handling inbound/outbound calls
* Track call volume, appointments set, and follow-up performance
* Help identify gaps and opportunities for improvement
Reporting, KPIs & Systems
* Generate daily KPI reports across marketing, sales, and operations
* Track performance metrics and surface insights proactively
* Assist in managing and monitoring multiple ad channels
* Build and maintain CRM automations, workflows, and reports
* Improve systems and processes as scale increases

* The founder’s calendar and inbox needs to be organized and protected

* KPIs are visible, accurate, and actionable
* Hiring and scheduling happen smoothly without bottlenecks
* Systems improve over time without being asked
* Problems are solved before they become emergencies
