*About Printfresh

Printfresh is a Philadelphia-based, rapidly growing lifestyle brand celebrated for its joyful patterns, size-inclusive offerings, and commitment to sustainable and ethical manufacturing. Founded by creative director Amy Voloshin, the brand debuted in 2019 with a vibrant line of whimsical pajamas and loungewear and has since cultivated a loyal community of over 100,000 print and pattern enthusiasts. As we expand, we are looking for a highly organized, detail-oriented, and Shopify-savvy E-Commerce Coordinator to join our team.

*About the Role

The Inventory Operations Analyst is a hands-on execution role responsible for monitoring inventory flow, validating inventory accuracy, identifying discrepancies, and supporting omni-channel fulfillment across e-commerce, wholesale, and third-party partners.

This role focuses on daily monitoring, reporting, and issue resolution, working closely with US-based Operations, Customer Service, Data/Systems, and 3PL partners. The role does not own strategy or final decision-making, but is responsible for accurate execution, clear escalation, documentation, and follow-through to ensure inventory reliability and order integrity across all selling channels.

*Key Responsibilities

-Inventory Management & Order Flow

Monitor daily inventory availability and order flow to help prevent overselling; flag risks and escalate issues promptly.
Run daily inventory, inbound, and order exception reports.
Identify discrepancies between ERP, WMS, Shopify/Fulfil, MarketTime, and selling channels; document findings and escalate to Operations or Data teams.
Support Customer Service by validating order status for delayed, partial, canceled, or exception orders.

-3PL & Third-Party Inventory Operations

Validate PO receipts against inbound shipments; track short ships, overages, damages, and missing receipts.
Maintain logs of inbound issues and follow up with 3PL partners for status updates.
Track third-party inventory buys, ship notices, receiving status, inventory levels, and sell-through performance.
Prepare reports and issue summaries to support weekly coordination with the 3PL.
Create and maintain ship notices (SNs) and packaging SKUs as instructed.

-Cross-Functional Support

Support US-based Operations, Production, Customer Service, and Data teams with inventory reporting and issue tracking.
Prepare inventory data for weekly planning, replenishment, and transportation discussions.
Flag low-stock or out-of-stock products and document potential root causes for review.

-Launch Readiness

Confirm inventory is received, processed, and visible across systems ahead of launches.
Validate on-hand availability and warehouse readiness using defined reports and checklists.
Escalate launch risks related to inventory timing, accuracy, or system visibility.

-Problem Solving & Process Improvement

Investigate inventory and system exceptions using established procedures.
Document recurring issues and suggest process improvements.
Support updates to SOPs and inventory/fulfillment process documentation.

-Reporting & Communication

Maintain daily and weekly logs of inventory issues, resolutions, and trends.
Prepare standardized reports on inventory health, discrepancies, aging, and sell-through.
Communicate clearly and professionally via Slack and email with US-based teams.

*Qualifications, Experience & Skills

2–4 years of experience in inventory, supply chain, operations, or a data-focused operations role.
Strong Excel or Google Sheets skills (filters, lookups, pivots).
Experience working with ERP, WMS, or inventory management systems is required.
Familiarity with Shopify, Fulfil, MarketTime, or wholesale platforms is a plus.
Experience working with 3PLs or third-party fulfillment partners preferred.
Strong written and verbal English communication skills required.
Highly detail-oriented, dependable, and comfortable following SOPs and escalation guidelines.
Able to work independently and collaborate with US-based teams.

*Work Arrangement

Full-time, starting at a $1,500 monthly salary (depending on experience).
Required work hours: 9:00 AM – 5:30 PM Eastern Time (US)
Fully remote; candidates based in the Philippines
