Takeoff & Estimating Specialist

Role Summary
We are hiring a Remote Takeoff & Estimating Specialist to (1) monitor New York public tender platforms for opportunities related to furniture, construction, and renovation, and (2) produce accurate takeoffs and estimates (BOQs, scope summaries, RFIs, and pricing) from PDF drawings and bid documents. Strong English communication, attention to detail, and organized deadline tracking are essential.

Key Platforms You Will Monitor (NY Public Tenders)
You will consistently search, track, and download bid documents from:
New York State Contract Reporter (NYSCR)
NYC PASSPort (NYC procurement)
NYC School Construction Authority (NYCSCA)
DASNY (Dormitory Authority of the State of New York)



Responsibilities
A) Tender Monitoring & Opportunity Tracking
Review platforms above on a defined cadence and identify relevant opportunities for:
FF&E / educational furniture / office furniture / casework
Renovation / fit-out / interiors
Construction scopes related to interiors and upgrades


Maintain an Opportunity Tracker (Excel/Google Sheet) with:
solicitation number, agency/owner, due date, link, scope summary, requirements
site visit dates, addenda tracking, submission checklist
status and next action/follow-up date


Download and organize bid documents with clean folder structure and file naming.

B) Takeoffs, Estimating & Bid Support
Takeoffs
Perform quantity takeoffs from PDF drawings/specs:
counts, areas (SF), linear (LF), and other measurements
Produce deliverables in Excel/BOQ format including:
item description, unit, quantity, room/area breakdown, drawing reference, notes/assumptions
Create a clear RFI / clarifications list when information is missing or unclear.
Maintain revision control for addenda (change log + updated quantities).


Estimating / Pricing Support
Convert takeoffs into estimate-ready pricing using our templates and guidance:
labor hours assumptions and labor totals
material/FF&E pricing (vendor quotes, catalog pricing, or allowances as directed)
delivery/installation allowances and logistics notes (when applicable)


Build bid-level summaries (Base Bid vs Alternates vs Allowances).
Identify scope risks and note pricing assumptions clearly (so senior review can finalize quickly).


Coordination
Coordinate with management / senior estimator for scope alignment, questions, and deadlines.



Tools (any of these is fine)
Bluebeam Revu (preferred) or other takeoff platforms
Excel / Google Sheets
Comfort reading architectural/interior drawings and specs (PDF)



Required Skills & Experience
Proven experience with construction takeoffs and estimating support, ideally for renovation/fit-out and/or furniture FF&E.
Proficiency (or strong willingness to become proficient quickly) in Bluebeam Revu or similar takeoff tool.
Excellent written and spoken English (you will summarize opportunities and document assumptions).
Strong organization: able to track multiple bids, addenda, and due dates with high accuracy.
Comfortable working with structured templates in Excel/Sheets.



Nice to Have
Familiarity with US public bid documents (RFP/RFQ/IFB), addenda, and compliance checklists.
Understanding of CSI divisions and common US construction terminology.
Experience supporting bids for schools, universities, or public agencies.

Compensation + Performance Bonuses
Base pay is competitive and based on experience. In addition, we offer performance bonuses tied to wins—similar to a lead/commission structure:

If a project is awarded and originates from your opportunity + takeoff/estimate work, you earn:
0.5% of the total sell price (depending on scope complexity and role contribution might be higher)
