About Us
We're a growing psychiatric practice in Arizona & California serving 100+ patients. We need a dedicated Patient Coordinator who can own the front desk function remotely—someone who already knows healthcare workflows and doesn't need to be taught what prior authorization means.
Our Virtual Office Model
We operate a true virtual office environment—not a "work whenever" remote job. Our team stays connected via Teams video throughout the workday, just like an in-person front desk. Your camera stays on during your shift (breaks excluded). This creates accountability, makes collaboration seamless, and ensures patients always reach a real person at a real desk. If you prefer async work or working off-camera, this isn't the right fit.
The Role
You'll be the first voice patients hear and the person who keeps our schedule running smoothly. This is not a general VA position. This is healthcare front desk work.
Core Responsibilities:

Confirm appointments and follow up with no-shows
Call new patient inquiries and convert them to scheduled appointments
Verify insurance eligibility and explain patient financial responsibility
Manage appointment scheduling and optimize provider calendar (minimize gaps)
Handle patient communications via phone, text, and secure messaging
Coordinate prescription refill requests with clinical team
Maintain accurate patient records and documentation

Requirements (Non-Negotiable)

Healthcare experience required: Either 2+ years front desk/patient coordinator experience in a medical office OR nursing background (RN/LVN). We don't have time to teach healthcare basics.
Must work PST hours: 8 AM – 5 PM Pacific Time (Arizona hours)
On-camera presence required: You'll be visible on Teams video during your entire shift (8 AM–5 PM PST). Professional home office setup with good lighting expected. This is a dedicated, single-focus position—not compatible with juggling other jobs simultaneously.
Excellent spoken English: You'll be on the phone with American patients explaining insurance and scheduling
Reliable internet and quiet workspace

Commitment Terms
We've been burned before by sudden departures. To ensure mutual commitment:

Minimum 1-month notice required before resignation
Pay structure: Bi-weekly with 1 week held in reserve (paid out after 30-day notice is fulfilled or at 90-day milestone)

This protects both parties—you get job security, we get continuity of care for our patients.
Compensation

$5–7/hour USD depending on experience (40 hours/week)
Paid training period
Long-term position with growth potential as practice scales
