JOB OVERVIEW

The Nonprofit Guy (NPG) is hiring a full-time Director of Operations & Executive Support to serve as the CEO’s right hand and second-in-command. This is not a traditional virtual assistant role. This position is designed for someone who can manage systems, workflows, client experience, team coordination, and executive operations in a fast-paced, growing company. The right candidate is warm and professional, yet direct, decisive, and execution-focused. You must be able to take ownership, anticipate needs, and ensure daily, weekly, and monthly priorities are completed so the CEO can focus on vision, growth, and partnerships.

This role will oversee operations across multiple platforms and teams. You will be responsible for building and managing GoHighLevel workflows, pipelines, and automations; creating and optimizing ---------- boards, dashboards, and automations; building and maintaining Notion workspaces for internal operations, SOPs, and client portals; and connecting systems using Zapier and other automation tools. You will document workflows, maintain systems, and continuously improve processes to support scalability and efficiency across the company.

In addition to systems and operations, you will support a high-level client experience. You will serve as a primary point of contact for high-ticket clients, communicate professionally via email and portal, handle customer concerns with empathy and clarity, and lead onboarding and orientation calls for new clients. You will also coordinate internal tea ---------- mbers, track deliverables and deadlines, support onboarding and training, and ensure clear communication across the organization. You will prepare and deliver weekly CEO reports outlining wins, blockers, metrics, and decisions needed to guide leadership direction.

This role requires strong experience with GoHighLevel (including workflows and automations), ---------- (including board setup and automations), and Notion (including dashboards and documentation). Working knowledge of Zapier or similar automation tools is required. You must be fluent in written and spoken English, comfortable communicating with executives and high-ticket clients, highly organized, proactive, and able to thrive in a fast-paced environment without micromanagement. Experience supporting a CEO or leadership team is strongly preferred.

This is a full-time role at 40 hours per week. All candidates will begin with a 30-day paid probation period. After successful completion of the probation period, the role will convert to a full-time salaried position, with opportunities for growth and advancement.
