JOB OVERVIEW

The Operations Tea ---------- mber supports the day-to-day operational functions of the
Community Team. Working under the direction of the Team Lead, this position is responsible for carrying out
assigned tasks, ensuring accuracy and efficiency, assisting with community needs, and supporting the Architectural
Control Committee (ACC). The Operations Tea ---------- mber also participates in cross-training to develop a working
knowledge of both operational and financial functions to provide flexible support as needed.

**Essential Duties and Responsibilities:**

**Daily Responsibilities**
— Participate in tea ---------- etings.
— Complete operational assignments as directed by the Team Lead.
— Maintain accurate records, files, and documentation of community activities.
— Respond to routine community inquiries in a timely and professional manner.
— Assist with the preparation and distribution of correspondence, reports, and notices.
— Support the execution of established community policies and procedures.
— Provide backup support to the Finance Tea ---------- mber as needed through cross-training.
— Identify and promptly report issues or challenges to the Team Lead.
— Contribute to maintaining a professional, responsive, and service-focused team environment.

**Weekly Responsibilities**
— Assist in preparing information and updates for the Team Lead’s weekly report to the Operations
Manager.
— Support the Team Lead in quality assurance by ensuring assigned tasks are completed accurately and on
time.
— Take part in cross-training sessions to gain knowledge of financial processes and other team functions.
— Provide input on process improvements and opportunities to increase efficiency.
— Collaborate with the Finance Tea ---------- mber to ensure smooth workflow and balanced workloads.

**Key Responsibilities**

— Community Relations
— Develop positive relationships with homeowners, HOA boards, contractors, and vendors to
maintain a harmonious community environment.

— Maintenance & Vendor Management
— Coordinate and oversee maintenance, landscaping, repairs, and improvements to community
amenities and common areas.
— Solicit bids from vendors, manage vendor relationships, and supervise projects to completion
within established timelines.

— Compliance & Enforcement
— Ensure consistent enforcement of community rules, covenants, and restrictions.
— Issue violation notices, track corrective actions, and conduct follow-up inspections to ensure
compliance.
— Guide HOA boards regarding policy updates, community standards, and best practices.

— Architectural Control Committee (ACC) Support
— Assist the ACC with application intake, review, and documentation.
— Track ACC submissions and ensure timely communication with homeowners regarding approvals
or required revisions.
— Maintain ACC records, including approvals, denials, and correspondence.
— Support ACC in enforcing compliance with approved plans and community design standards.

— Administrative Duties
— Maintain accurate and up-to-date records of homeowner communications, contracts, meeting
minutes, vendor agreements, and ACC activity.
— Prepare periodic reports on community activities, maintenance projects, compliance matters,
and ACC activities.
— Organize community events and initiatives that foster homeowner engagement and build a
positive community culture.

**Qualifications and Requirements:**
— Minimum of two (2) ] years of experience in administrative support, operations, or a related field.
— Strong organizational skills and attention to detail.
—Excellent communication and interpersonal skills.
— Ability to manage multiple tasks and meet deadlines.
— Willingness to learn new skills and participate in cross-training.
— Proficiency with standard office software and technology platforms.
— Demonstrated ability to work effectively as part of a team.
— Completion of the M100 training within the first 12 months of employment
