Property Preservation Systems & Pricing Specialist (Long-Term VA)

We are a U.S.-based property preservation company looking for a highly capable, detail-oriented Virtual Assistant to help us build and streamline our internal pricing, bidding, and workflow systems.
This is not a simple data entry role. We are looking for someone who can learn new programs, scrub data from multiple platforms, organize pricing intelligently, and help us create a clean, accurate, and scalable system for bidding property preservation work.

Primary Responsibilities:
Learn and fully set up our Property Preservation Wizard (PPW) account (we currently only use it for photo collection).

Input and organize:
Company allowables
Pricing
Discounts
Required forms and documents

Configure PPW for:
Auto-discounts
Auto-assignments
Cleaner workflow from updates ? invoicing ? tracking
Scrub and extract pricing data from platforms we have subscriptions to, including:
XactPRM
RepairBase
Combine all pricing and descriptions into one master pricing guide/report that is:
Easy to use for bidding
Clearly described
Consistent with property preservation industry standards
Research and verify pricing accuracy where needed
Help build simple, repeatable bidding tools/forms for future jobs
Assist with additional system setup and operational projects once the initial work is complete
Ideal Candidate:
Extremely organized and detail-oriented
Strong ability to learn new software independently
Comfortable working with numbers, pricing, and descriptions

Experienced with:
Data scraping / data consolidation
Research and verification
Spreadsheet creation (Excel / Google Sheets)
Able to follow instructions but also think critically and make suggestions
Good written English communication
Long-term mindset (this role will expand as our company grows)

Nice to Have (Not Required):
Experience in property preservation, REO, or construction pricing
Familiarity with workflow automation or system optimization
Experience documenting SOPs or internal processes
