Part-Time Xero Bookkeeper (Weekly Bank Reconciliation + Ecom Transactions)

We’re a UK-based retail + ecommerce business (Shopify + physical shop). We process a high volume of small transactions (Shopify payouts, PayPal, card payments, Royal Mail, Amazon purchases, etc.). We’re putting stronger processes in place and want a reliable bookkeeper to keep the accounts clean weekly.

What success looks like (your outcome)
Bank/Xero is reconciled weekly with minimal outstanding items
Shopify/PayPal payouts are accurately matched and coded
Any missing info (receipts, categories, unknown transactions) is flagged clearly in a simple weekly summary
Month-end is easier because the books are already clean

Key responsibilities

Weekly reconciliation in Xero:
Reconcile bank accounts weekly
Reconcile PayPal/Shopify payout lines (or reconcile via clearing accounts if needed)
Identify and flag uncategorised/unknown items

Transaction coding & hygiene:
Apply correct categories and tracking (we will provide rules/SOPs)
Attach receipts/invoices where available
Maintain clean payee naming conventions

Weekly reporting (simple):
Send a short weekly summary: what’s reconciled, what’s still missing (receipts / info needed), any anomalies spotted (duplicate charges, unusual spend, missed payouts)
Suggest 1–2 improvements per month (examples: fewer transactions via monthly invoicing accounts, better rules in Xero, consistent purchase workflows)

SharePoint (helpful)

Hours & schedule
Part-time retainer: ~10 hours per week
Flexible schedule, but reconciliation must be completed by an agreed weekly deadline.

Requirements
Proven Xero bookkeeping experience (please be specific)
Strong bank reconciliation skills
Extremely detail-oriented (this role is about accuracy and consistency)

Nice to have
Ecommerce bookkeeping experience (Shopify + PayPal)
UK VAT familiarity (not required, but useful)
