About Rijpex

Rijpex is a European e-commerce brand specializing in high-quality wooden pergolas with shade sails.
Our products are high-ticket and semi-custom, meaning customers often need technical guidance and personal advice before purchasing.

We sell mainly in The Netherlands, and are expanding to Germany.

This role is for someone who wants to grow, take responsibility, and eventually move into a managerial role.

Role Summary
We are looking for a high-level Virtual Assistant to help us build and scale our customer service & sales operations.
You will start small, go through an intensive learning phase, and gradually take ownership of:
- Customer communication
- Pre-sales advice
- Quotes & invoices
- Order coordination
- After-sales support

We are very selective. This is a long-term role for an A-player, not a temporary VA.

Tools You Will Work With
- Gorgias – email & WhatsApp support
- Shopify – orders & customer data
- Reuzepanda (proposal / invoice / configurator tool)
- Translation tools / GPT-based workflows (if needed)

Responsibilities (Step-by-Step Growth)

Phase 1 – Training & Support (Month 1)
- Study existing customer conversations (emails & WhatsApp)
- Learn the product (wood types, sizes, mounting options, shade sails)
- Answer basic customer questions
- Work closely with me on replies

Phase 2 – Pre-Sales & Quotes
- Handle longer customer conversations independently
- Ask the right technical & situational questions
- Create quotes & invoices via Reusable
- Follow up on open quotations


Phase 3 – Ownership & Growth
- Coordinate confirmed orders with suppliers
- Manage after-sales communication
- Help improve processes & documentation
- Grow towards Customer Support / Sales Manager

What We’re Looking For (Important)
- Strong technical understanding (or fast learner)
- Comfortable discussing custom situations (gardens, installations, use cases)
- Able to think beyond scripts
- Structured, calm, and professional communicator
- Proactive: asks questions, suggests improvements
- Long-term mindset

Language Requirements
- Dutch (big plus)
- German (big plus)
- If not fluent in German or dutch: excellent ability to work with translation tools / GPT

Working Hours
- Month 1: 4 hours per day (training phase)
- Growth path: 8–10 hours per day
- European business hours preferred
